We are seeking a dynamic, relationship-driven leader to join our team as a Senior Supervisor – Hospital Scheduling & Provider Relations In this role, you will lead a high-performing team responsible for coordinating complex inpatient and outpatient procedural scheduling across multiple hospitals, providers, and clinic locations.

This position is a critical bridge between physicians, clinical teams, hospital partners, and scheduling staff—ensuring seamless patient access, efficient resource utilization, and an exceptional service experience.

Success in this role depends on your ability to build strong relationships, influence without authority, and drive collaboration across diverse, fast-paced healthcare environments.

Requirements

Key Responsibilities

Relationship Management (Primary Focus)

  • Build and maintain strong, trust-based relationships with physicians, advanced practice providers, hospital departments, and clinic leaders
  • Serve as the primary operational liaison between providers, clinics, and hospital partners
  • Lead regular meetings with providers and leadership to identify opportunities and solve challenges
  • Drive collaborative problem-solving across stakeholders
  • Manage escalations professionally and ensure timely resolution
  • Foster open communication and proactive follow-up

Operational Leadership

  • Oversee day-to-day scheduling operations across multiple hospitals and clinic locations
  • Coordinate inpatient and outpatient procedural scheduling
  • Ensure prioritization of urgent and emergent cases
  • Balance physician preferences, hospital capacity, staffing, and patient needs
  • Monitor scheduling accuracy, throughput, and resource utilization
  • Standardize workflows and implement best practices

Team Leadership

  • Lead, coach, and develop supervisors and scheduling staff
  • Establish clear performance expectations and accountability
  • Conduct one-on-one meetings and performance evaluations
  • Promote employee engagement, growth, and development
  • Foster a collaborative, patient-centered culture

Process Improvement

  • Identify workflow gaps and implement sustainable improvements
  • Develop and maintain standardized operating procedures
  • Monitor key performance indicators and take corrective action as needed
  • Partner with leadership to enhance efficiency and patient access
  • Support system and technology optimization initiatives

Communication & Collaboration

  • Serve as a communication bridge between providers, hospitals, and scheduling teams
  • Provide timely updates on scheduling or operational changes
  • Coordinate cross-functional initiatives and process improvements
  • Present performance updates and insights to leadership

Qualifications

Required

  • Bachelor’s degree in Healthcare Administration, Business, Nursing, or related field (or equivalent experience)
  • 5+ years of experience in healthcare scheduling or operations
  • 3+ years of leadership or supervisory experience
  • Experience coordinating across multiple providers and hospital systems
  • Strong understanding of inpatient and outpatient procedural workflows
  • Excellent interpersonal, communication, and conflict-resolution skills

Preferred

  • Experience in cardiovascular, surgical, or specialty care settings
  • Familiarity with EMR and scheduling systems
  • Lean, Six Sigma, or process improvement experience
  • Multi-site operational leadership experience
