Job Title: Senior Supervisor

Reports To: Manager or Operations Manager

Position Directly Supervised: Supervisors, Cashiers, Salesclerks, Porters, Security, Drivers, Dispatch Clerks

Division: Building Supplies

Review Period: Every 6 Months

Date June 2011

Primary Objectives/ Position Summary:

To oversee and manage all operational activities of the department/location to include planning and coordinating of business activities. To ensure the delivery of service excellence in accordance with company best practices ensuring a positive customer experience. To ensure departments are adequately stocked and appropriately merchandised and the stock as reflected by the operating system is accurate.

Qualifications and Experience Required:

BSc. in Business or Marketing from a recognized University or an Associate Degree in Business Administration with a minimum of two (2) years leadership experience at a senior level. Sales experience and excellent written and oral skills are a must.

Plan and Schedule work and effectively Supervise assigned staff

Satisfactory performance will have been attained when:

Assignments and tasks are effectively distributed. Recommendations are made for the resolution of internal problems or scheduling inconsistencies. Employee’s work and vacation schedule is effectively coordinated and communicated. Staff attendance is monitored, and a plan of action developed to improve attendance when necessary. Employee performance is assessed on an ongoing basis with at least one formal appraisal annually to ensure that performance standards are met, and the unit operates effectively. Various personnel actions are recommended including, but not limited to, hiring, performance appraisals, promotions, probationary reviews Ensures team is compliant with company policy and procedures

Recruitment, Training and Development.

Satisfactory performance will have been attained when:

There is full participation in the recruitment, selection, and training of new staff. Probationary reviews and new employee orientation is conducted in the first three months. One on one coaching is done as required together with on-the-job training. Training needs are identified and followed up on There is full participation in the appraisal process. All training sessions recommended by management is attended.

Assist Manager with the enforcement of company policy

Satisfactory performance will have been attained when:

Breaches in company policy are identified and dealt with in a timely manner Reminders are discussed at Department meetings Suggestions are made in relations to store operations Paperwork is properly handled, and reports are submitted accurately and on time Non-performing staff are identified and dealt with in accordance with Company regulations It is ensured that Safety Standards are Strictly adhered to by all staff

Inventory Management:

Satisfactory performance will have been attained when:

Minimum of five (5) items are cycle counted per Department per day; and it is accurately completed and submitted. Stock turn of no less than “3” is achieved for Department There is full participation in conducting stock takes and in the investigation that follows Reports and follows up are conducted on any stock difference noticed or reported on the computer to the Manager and the Inventory Department Negative stock quantities are investigated weekly and resolved before the end of the month Paperwork is accurately completed for returned items Paperwork is accurately completed for written-off and defective items Slow moving items are reported to management and the effort is made to turn it into cash Suggestions are made to the Manager and the Buyers on out-of-stock items Local order requirements are initiated There is initiation and follow up for special orders Displays are up to date Assigned area is always in a state of readiness for stock

Order Management

Satisfactory performance will have been attained when:

Order/delivery deadlines are met by Salesclerks. Inventory is reviewed, request placed and followed up on. Sufficient quantities are ordered so as not to over stock the Department. Transfer requests from the other stores are attended to within two (2) working days Purchase orders and faxes received are responded to in a timely manner

Customer Service

Satisfactory performance will have been attained when:

Department staff are ready to offer service at the start of business Surveys indicate a high level of performance from Department and team members Returns, discounts and exchanges are handled after verification that procedure was followed. Salesclerks are delivering excellent customer service by conveying a positive attitude, and identifying customer needs and meeting those needs to ensure customer loyalty Cashiers receive quick attention in sorting out product issues at store front Customers are approached by Salesclerks to offer assistance Relationships are developed with customers to ensure repeat business Customer inquiries, complaints and product queries are dealt with satisfactorily and promptly Customers are offered alternative products or are encouraged to purchase additional items Product knowledge and developmental training is conducted on a regular basis to ensure that employee’s developmental gaps are addressed

Assist with Cashier Reconciliation

Satisfactory performance will have been attained when

All the required reports are printed and the amounts there in verified as correct Deposits are neatly prepared, and amounts are verified as correct All relevant machines are closed off properly at the end of day Cashier inconsistencies and patterns are reported Overnight deposits are secured

Assist with Stock-take

Satisfactory performance will have been attained when:

Cycle counting and end of year stock taking is done efficiently and in a timely manner. Inconsistencies with system and items in terms of quantity, description and prices are brought to the attention of management Investigations are carried out.

Receive Stock

Satisfactory performance will have been attained when:

Stock is checked and the correct stock is received i.e. stock matches invoice Stock documents are accurately prepared and submitted according to procedure Queries on stock received are fully investigated

Manage and Maintain Health and Safety requirements

Satisfactory performance will have been attained when:

Ensure that all Company and legislated safety standards are enforced and adhered to by all team members and visitors Safety concerns reported or observed are dealt with immediately or with a sense of urgency Ensure that the working environment is kept well, clean, tidy, aesthetically appealing and in good repair Items stored in lumberyard are positioned in such a manner to facilitate speedy retrieval and disposal of products. Products are kept intact and are not damaged Stock is constantly rotated Zoning is accurately filled out and updated where possible Discrepancies are reported and corrective action recommended ensuring safety Non-adherence to safety rules and regulations is addressed promptly

General Expectations

Satisfactory performance will have been attained when:

Store opens on time every time There is adherence to the stipulated standards of Home Depot Necessary security checks are conducted longingly Sales Clerks are adhering to dress codes Assistance is given in training new staff All security measures are always in place and enforced Attendance, lunch and tea breaks are monitored There is full participation in the appraisal process. There is attendance at staff meetings All training sessions recommended by management are attended. The uniform provided is used appropriately, depicting a professional appearance. The work environment is kept within company standards, sanitary and clean. Safety rules are followed and precautions are always taken. Telephone calls and inquiries are answered and accurate information is given in a polite manner. Performance in other job related duties as directed by Management are carried out in accordance with agreed Company standards.
