Senior Specialist, Administration

Job’s mission

As an Administrative Assistant at ASM in Hillsboro, OR, you will support service operations leadership by ensuring smooth day-to-day office operations and delivering high-quality administrative support. This role is central to maintaining an efficient, well-organized workplace while serving as a key point of contact for employees, customers, and visitors. You’ll contribute to operational excellence, employee experience, and a safety-first culture in a fast-paced, dynamic environment.

What you will be working on

  • Provide comprehensive administrative support to site leadership, including reporting, scheduling, and departmental coordination
  • Manage executive-level calendars, travel arrangements, expense reporting, and meeting logistics
  • Serve as the first point of contact for visitors, ensuring a professional and welcoming office environment
  • Support onboarding processes, site badging, and new hire experience initiatives
  • Maintain office operations including supplies, vendor coordination, facilities upkeep, and workspace organization
  • Manage site data, distribution lists, seating charts, and asset tracking processes
  • Plan and execute onsite events, meetings, and employee engagement activities
  • Drive safety initiatives by supporting compliance programs, audits, and emergency preparedness activities
  • Prepare and deliver recurring and ad hoc reports, resolving issues with speed and accuracy
  • Document processes, communicate project updates, and proactively address challenges with solutions

What we are looking for

  • An Associates (ABA) degree in business administration is desirable. Candidates with comparable experience, knowledge and skills will be considered.
  • 3+ years of administrative or data management experience, ideally in a high-tech or manufacturing environment
  • Strong proficiency in Microsoft Office, including Excel and PowerPoint
  • Experience supporting office operations, reporting, and executive-level activities
  • Excellent organizational skills with the ability to manage competing priorities
  • Strong communication and interpersonal skills, with a customer-service mindset
  • Ability to work independently in a fast-paced, changing environment

What sets you apart

  • Experience with SAP, SharePoint, and Microsoft Teams collaboration tools
  • Prior experience supporting executive leadership and complex scheduling needs
  • Experience planning events or employee engagement initiatives
  • Knowledge of facilities coordination and vendor management
  • Understanding of basic accounting principles
  • Experience contributing to safety programs or compliance initiatives
