
Job Profile Summary
Under limited supervision, the purpose of the job is to record revenue, payables and college budget transactions for the Advancement office and Direct Support Organizations (DSOs) and maintain the DSOs financial files. Performs related duties as assigned.
Minimum Education:
Associate degree required.
Minimum Experience/Training:
Three or more years of functional experience in related field of work. Experience using accounting systems to perform accounting and financial functions.
An equivalent combination of experience and education may be considered.
Essential Functions:
Daily -10%: Processes and reviews all purchase orders and requisitions in Workday. Ensures compliance with College’s policies and procedures.
Monthly- 10%: Processes and reconciles monthly scholarship and program support invoices from the College.
Daily -5%: Promptly deposits all money received at current financial institutions (ie. Northern Trust and BB&T).
Daily -10%: Prepares check runs; mails check to vendors. Resolves and researches vendor inquiries in a timely matter.
Daily -10%: Records all revenue transactions for the DSO(s) in the accounting system, including but not limited to the daily feed from Raiser’s Edge and investment income allocation posting. Maintains physical and electronic financial files of the DSO(s).
Daily -15%: Processes Accounts Payable transactions ensuring that the disbursement request has the proper approval, the benefit to the college is noted, and the expense is reasonable; ensures that the project and general ledger accounts are coded correctly. Ensure 1099 payments are properly recorded. Reconciles all accounts payable and other liability accounts.
Monthly -15%: Assists with the month-end closing process.
Other, as Needed -5%: Serves as back up to the gift processor.
Other, as Needed -5%: Work with college grants accounting to compile supporting documents and reconcile college invoices.
Other, as Needed -5%: Creates monthly and quarterly invoices to hospital partners.
Other, as Needed -5%: Maintains a working knowledge of applicable Generally Accepted Accounting Principles, college and DSO policies, and applicable laws and regulations.
Other, as Needed -5%: Performs related duties as assigned.

Must be detail oriented; able to handle multiple tasks at one time; meet all deadlines in a timely manner.
Strong knowledge, understanding and skills in area of responsibility; including an understanding of concepts and principles of related areas and functions.
Ability to manage own work to job and performance standards. Ability to participate as an active team member.
Ability to lead a group of employees.
Requires intermediate to advanced knowledge of computer systems, i.e. Microsoft Office Products as well as specialized computer systems.
Ability to interact and effectively communicate with employee and student populations.
