Senior Shipping Executive

Role Purpose:

When goods cross borders, every detail matters. The Senior Shipping Executive will be the key person ensuring our import and export activities run smoothly from customs clearance and shipping documentation to freight coordination and final delivery, while keeping every shipment compliant, timely, and cost-effective.

Beyond daily operations, this role will use your trade and logistics expertise to identify risks, improve processes, manage logistics partners, and contribute to freight management and global shipping initiatives—helping build a more efficient, reliable, and standardized logistics operation.

Main Responsibilities:

  • Manage import/export operations including shipping documentation, customs clearance, freight booking, shipment tracking, and delivery coordination to ensure timely and compliant movement of goods;
  • Coordinate with freight forwarders, shipping lines, and logistics partners to manage daily operations, delivery performance, freight costs, and customs clearance;
  • Ensure trade compliance by maintaining accurate import/export documentation and keeping up to date with Vietnamese customs regulations, Incoterms, HS Codes, Country of Origin, and other relevant requirements;
  • Coordinate cross-functional logistics activities with internal departments, Accounting, suppliers, customers, insurance companies, and authorities to resolve shipment, documentation, payment, and cargo-related issues;
  • Monitor and improve shipping performance through operational reports, KPI tracking, root-cause analysis, and continuous improvement of documentation, booking, tracking, invoicing, and customs processes;
  • Support freight management and strategic logistics projects, including forwarder performance evaluation, routing and lead-time reviews, system/process optimization, and collaboration with other P+F locations;
  • Maintain and strengthen shipping procedures and standards by updating work instructions, supporting audits, sharing best practices, and contributing to global shipping and standardization initiatives;

Role Requirements:

  • Bachelor’s degree in Logistics, Import-Export, Economics, Trading, or a related field, with 4–6 years of hands-on experience in import/export, freight forwarding, customs, or international logistics;
  • Strong knowledge of Vietnamese customs procedures, import/export regulations, shipping lines, ports, freight forwarding, hazardous goods, and international trade practices;
  • Good understanding of Incoterms, HS Codes, COO, customs documentation, and freight management, with experience handling customs and trade compliance matters;
  • Experience with ERP systems and e-customs software, with the ability to manage logistics projects, analyze operational data, and drive process improvements;
  • Business-fluent English, strong coordination and negotiation skills, and the ability to work effectively with internal stakeholders, external logistics partners, and international teams;
