Job Description

About the Role

The Salesforce Administrator owns and optimizes our Salesforce platform — a mature, heavily automated environment spanning Sales Cloud and Service Cloud. You will manage significant custom configuration, a body of existing legacy automation, and numerous critical integrations (NetSuite, marketing automation, e-signature, telephony, and more).

This is a hands-on role for a skilled administrator who can configure declaratively, keep our integration ecosystem healthy, and translate cross-functional business needs into reliable, scalable solutions. We actively manage and extend this org using AI-assisted tooling (including Claude Code), so we are especially interested in someone who already leverages AI to streamline administration or is genuinely driven to work in an AI-forward setup.

Key Responsibilities

System Administration & Security

  • Serve as the primary system administrator for Sales Cloud and Service Cloud.
  • Manage user lifecycle, roles, profiles, permission sets, field-level security, and sharing rules.
  • Support end users with troubleshooting, training, and documentation to drive adoption across departments.

Automation & Process Modernization

  • Design, build, and maintain complex declarative automation using Salesforce Flow (record-triggered, screen, scheduled, and HTTP callout flows).
  • Audit, rationalize, and retire legacy Workflow Rules and Process Builders into clean, maintainable Flows.
  • Administer Service Cloud processes, including Case assignment rules, queue management, and automated offboarding cases tied to client cancellations.

Integrations & Ecosystem Management

  • Own and maintain integrations across connected platforms, including NetSuite (via Celigo / integrator.io), GoHighLevel, PDF Butler (e-signature/doc-gen), Dialpad, Apollo, HubSpot (sunset phase), and Outlook/Teams sync.
  • Configure and support custom API- and webhook-based integrations to ensure uninterrupted data flow across systems.

Deployments, Data Hygiene & Analytics

  • Manage deployments across sandboxes and production using the Metadata API, Salesforce CLI, or Change Sets, troubleshooting test-coverage and deployment failures.
  • Build and maintain reports and dashboards supporting pipeline, subscription-revenue metrics ( MRR, ARR, churn), and operational decision-making.
  • Ensure data hygiene through validation rules, deduplication, and regular audits (e.g., lead-source completeness, duplicate resolution).

AI & Innovation

  • Leverage AI tools (e.g., Claude Code, Cursor, ChatGPT) to accelerate Flow design, formula building, metadata analysis, documentation, and troubleshooting.
  • Stay current on Salesforce releases, features, and best practices to propose continuous system improvements.

Requirements

Required Skills & Experience

  • Experience: 5+ years of dedicated experience as a Salesforce Administrator in a complex, heavily automated environment. Experience in healthcare, marketing, or agency/managed services environments is a strong plus.
  • Certifications: Salesforce Administrator certification required. Advanced Administrator, Platform App Builder, or Platform Developer I (PDI) strongly preferred.
  • Core Technical Expertise: Deep knowledge of the Salesforce data model, security architecture, and Flow Builder (including HTTP callouts and complex sub-flows).
  • Cloud Knowledge: Hands-on administration experience across both Sales Cloud and Service Cloud (Case management).
  • Integrations: Experience owning third-party and custom integrations, including middleware/iPaaS (e.g., Celigo / integrator.io) and REST/Webhook syncs. Experience with NetSuite or marketing tech stacks is a major advantage.
  • Analytics: Strong proficiency with custom report types, bucket fields, and dashboards; comfort with SaaS metrics (MRR/ARR/churn) preferred.
  • Education: Bachelor’s degree in Computer Science, Business, Information Systems, or equivalent practical experience.

  1. The Flow Architect: They don't just "know" Flow; they understand architectural patterns (one Flow per object per event, sub-flows, fault paths) and are comfortable deprecating legacy Process Builders without breaking downstream logic.
  2. The Integration Specialist: They aren't intimidated by API error logs, webhook payload mismatches, or Celigo flow errors between Salesforce and NetSuite. They can trace data failures across system boundaries independently.
  3. The AI-Augmented Admin: They actively use AI tools (Claude Code, LLMs) to draft formulas, analyze SOQL/XML metadata, or generate test cases 2–3x faster than traditional manual admins.
