Senior Proposals AdministratorReporting to the Manager, Proposals - Buildings West the Proposals Administrator – Buildings plays a critical role in supporting the Buildings proposal team by establishing, maintaining, and governing centralized proposal content and systems, and by providing handson proposal coordination support once the content environment is in place. This role is wellsuited to someone with direct proposal experience in the construction / AEC environment who understands how proposal teams work under deadline, how content is reused and adapted, and how poor information management creates risk. The successful candidate will be highly organized, technically capable, and comfortable working with multiple stakeholders across regions.
The position is based in one of our West location offices – Calgary, Edmonton, or Richmond, Vancouver.
Proposal Content & SharePoint Management
Support the re‑organization and consolidation of a centralized SharePoint hub into a logical structure,
Maintain naming conventions, version control standards, and usage guidelines
Maintain and organize content libraries
Work closely with proposal managers and team members to support how information is captured and accessible
Coordinate with internal stakeholders to gather, review, and update proposal assets and information
Maintain and update master resumes, project sheets, and corporate information, ensuring accuracy, consistency, and audit‑readiness
Act as the information gatekeeper, ensuring updates are made once, in the correct location, and reflected consistently across proposal materials
Govern proposal asset and information standardization and quality assurance
Manage proposal SharePoint libraries and ensure content is properly structured, version‑controlled, and governed
Ensure proposal information is stored, maintained, and structured in accordance with approved templates and library standards
Support award submissions by maintaining accurate project and resume information, as required
Support post‑pursuit activities, including archiving, lessons learned, and information updates
Work with proposal team members across Buildings to ensure consistent use of systems, libraries, and templates
Reduce administrative and information‑management burden on proposal managers and pursuit teams
Liaise with internal departments and subject‑matter experts to validate and maintain proposal information
Support award submissions by maintaining accurate project and resume information, as required
Diploma or degree in communications, business, marketing, or a related field (or equivalent professional experience)
5+ years’ experience supporting proposal teams, with direct experience managing proposal information, resumes, project profiles, and content libraries
Exceptional attention to detail, with strong written and verbal communication skills
Experience working with structured proposal documents and templates; familiarity with Adobe Creative Cloude, specifically InDesign, is considered an asset
Strong proficiency with Microsoft Office (Outlook, Word, Excel, and SharePoint)
Experience working with SharePoint libraries and document management systems; experience with CRM or proposal tracking tools is considered an asset
Demonstrated understanding of data integration and management, including the ability to organize, analyze, and maintain information across multiple platforms
Ability to manage multiple priorities simultaneously and work effectively with multiple contributors in a deadline‑driven environment
Ability to prioritize work, manage competing requests, and maintain accuracy under time constraints
Strong organizational, analytical, and problem‑solving skills, with a high degree of accuracy and attention to detail
Proactive and solutions‑oriented approach, with a strong sense of accountability
Ability to work collaboratively and build effective working relationships across teams
Previous experience working in a construction, engineering, or professional services environment is considered an asset
