What is The Well?
The Well is a unique and innovative joint venture between Allied and Riocan.
Located at Spadina and Front, The Well brings together three million square feet of retail, office, and residential space constructed over 7.7 acres. Through this, The Well sets the stage for meaningful experiences that draw people from down the street and across the globe to eat, shop, work, live and play in Toronto.
Reporting to the General Manager, and as this is a newly constructed property, we are building a team with the same level of excellence in mind. The team at The Well will be dynamic, nimble and agile. It will be focused on new initiatives, innovation, efficiency and continuous improvement. Purpose

Allied is looking for a Senior Property Manager, Retail to oversee approximately 320,000 square feet of retail space at The Well, including Wellington Market.

In this role, you will lead the retail Property Management team and oversee tenant relations, retail operations, building standards, financial performance and operational administration. You will play a key role in maintaining a high-quality tenant and guest experience while ensuring the retail portfolio operates effectively and performs in line with established operational and financial expectations.

This is an opportunity for an experienced property management leader who understands complex retail environments, builds strong relationships and brings a service-oriented approach to one of Toronto’s most prominent mixed-use destinations.

Responsibilities

    Leadership

  • Lead, coach and support the retail Property Management team to achieve departmental objectives, portfolio priorities and performance expectations.
  • Foster a collaborative, service-oriented team environment that supports effective coordination across departments.
  • Support team members in establishing annual goals aligned with portfolio needs and company priorities.
  • Review performance on an ongoing basis and provide timely, constructive feedback through regular one-on-one meetings, department meetings and day-to-day communication.
  • Identify opportunities to support team member development, including coaching, learning and increased responsibility.
  • Tenant Relations and Retail Operations

  • Deliver a consistent, high-quality tenant and guest experience across the retail portfolio and Wellington Market.
  • Build and maintain strong tenant relationships through regular communication, proactive issue resolution and participation in tenant meetings, as required.
  • Support tenant satisfaction and retention by addressing tenant needs in a timely, professional and service-oriented manner.
  • Oversee tenant onboarding and move-in readiness with Leasing, Operations and Tenant Coordination.
  • Coordinate tenant communications, notices, service requests and issue resolution to support a consistent tenant experience.
  • Review tenant survey feedback and implement action plans to address concerns and improve tenant satisfaction and retention.
  • Oversee the day-to-day retail operations, including tenant coordination, issue resolution, service standards and operational requirements.
  • Manage tenant-related matters involving insurance, risk management, legal issues, environmental programs and energy conservation initiatives with internal and external stakeholders.
  • Building Standards and Property Operations

  • Manage supplier and contractor relationships to ensure required services are delivered effectively, efficiently and in accordance with established standards.
  • Identify and address life safety, liability and potential negligence matters that may affect The Well, its tenants, contractors, guests or employees.
  • Support long-term capital planning for structural, environmental, building system, equipment, furnishing, repair, replacement and enhancement requirements.
  • Conduct regular property inspections with Operations to maintain building, service and presentation standards.
  • Financial Performance and Reporting

  • Support the preparation of annual operating budgets, forecasts and the five-year capital plan.
  • Review monthly financial statements at a high level to support NOI performance and year-end recovery accuracy.
  • Monitor monthly expenses against approved budgets and conduct variance analysis to identify issues, recommend corrective actions and ensure expenditures remain within budget.
  • Oversee property financial reporting, including variance analysis, vacancy, rent roll review, retail sales analysis, CAM recovery support and other relevant reporting.
  • Monitor outstanding receivables to support the timely collection of monthly rent and tenant charges.
  • Support escalated account resolution in partnership with the Property Administrator.
  • Oversee invoice processing, tenant billing and related follow-up activities.
  • Provide oversight and accountability for accounts payable and invoice processing to ensure invoices are reviewed, approved and processed accurately and on time.
  • Leasing, Administration and Compliance

  • Support retail deal execution by coordinating operational inputs, tenant onboarding, landlord work obligations and required deadlines with Leasing, Operations and Tenant Coordination.
  • Support lease administration by ensuring tenant information, critical dates, notices and documentation are accurate and communicated to the appropriate internal teams.
  • Oversee the tracking and follow-up of tenant certificates of insurance and other required operational documentation.
  • Respond to after-hours emergency calls, attend site as required and take necessary action to ensure emergency procedures are followed.
  • Complete assigned responsibilities related to Allied’s Sustainable Well Being and Occupant Engagement Programs.
  • Complete certification processes for BOMA, LEED and WELL, as required.

Qualifications

  • Five to seven or more years of property management experience in commercial or retail buildings.
  • Undergraduate degree or diploma in business administration, real estate or a related field.
  • Progressive property management experience with increasing levels of responsibility.
  • Proven people management experience.
  • Strong communication and interpersonal skills, including a proven ability to build and maintain relationships.
  • Experience with accounting, budgeting and building systems.
  • Ability to work in a fast-paced, service-oriented environment.
  • Strong judgment, accountability and problem-solving skills.
  • Team-oriented approach.
  • CPM, RPA or FMA designation would be an asset.
  • Knowledge of Yardi would be an asset.
