Job Description

The Project Specialist plays a key role in driving high quality, on time project delivery. This individual organizes and coordinates cross functional project teams, manages project timelines, and identifies resource needs. They monitor and report on project status—including scope, schedule, and budget—to ensure alignment with goals and standards.

The Project Specialist supports change management efforts, facilitates effective stakeholder communication, and serves as the primary point of contact for the project team. They are also responsible for assigning tasks and ensuring accountability across team members.

Responsibilities

  • Responsible for planning and scheduling various project workloads.
  • Gathers and analyzes information to prepare status reports.
  • Ensures that assignment and scheduling of work follows company policy.
  • Evaluates current procedures and recommends changes to improve the efficiency of planning and scheduling of projects.
  • Tracks and records costs through work orders and invoices.
  • Ensures that all project steps and activities are properly documented and closed in scheduling systems.
  • Research, monitor, and analyze data to produce business insights and action recommendations.
  • Coordinate work of cross-departmental teams to ensure project objectives are achieved and timelines are met. Follow up with various stakeholders to ensure that all project plans are executed as expected
  • Serves as a central point of contact to routinely relay, facilitate and keep stakeholders apprised of the project’s status and respond to questions or inquiries regarding the project.
  • Maintains open communications and relationships with clients as well as the project team, coordinates and conducts meetings as appropriate.

Knowledge, Skills and Abilities

  • Demonstrated success in managing small to medium to scale projects.
  • Gains exposure to some of the complex tasks within the job function. Occasionally directed in several aspects of the work.
  • Strong organizational and time management skills to manage multiple projects or competing deadlines
  • Attention to details and possess the ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to research issues, prepare evaluations on problems and recommend viable solutions.
  • Demonstrated experience in collecting and analyzing data, with skill in optimizing work processes
  • Excellent communication skills, both oral and written, and interpersonal skills are required to effectively communicate with internal and external stakeholders.
  • Demonstrated skills in project tracking and management projects.
  • Intermediate knowledge of software used to manage, analyze and present data, preferred. nd • Knowledge of and experience with department functions, programs and practices.
  • Demonstrated capability to communicate and work effectively at all levels of the organization, inspiring respect and credibility.
  • Ability to observe confidentiality.

Education, Experience and Certifications

  • Bachelor’s Degree with 2 years relevant work experience

Or

  • Associate’s Degree with 4 years relevant work experience

Or

  • High School Diploma with 6 years relevant work experience
  • Certification in a Project Management discipline, such as Project Management Professional (PMP) is preferred.
  • Utility or Energy industry experience preferred.

Physical Requirements

  • Up to 25% travel, primarily within NY State.
  • May attend a variety of meetings, conferences, seminars during and outside of normal business hours.
  • Ability to visit customer sites and NYPA facilities.

The estimated salary range for this position is: $83,000 - $104,000 The salary offered will be determined based on the successful candidates’ relevant experience, knowledge, skills, and abilities.
