The Senior Project Specialist is a key part of the NAVEX custom business, which supports our customers in their employee compliance needs.

In this role, you will coordinate the creation, development, and production of digital and print assets, ensuring operational efficiency, high quality, and excellent customer experiences.  Our team offers a collaborative work environment where you’ll partner cross-functionally with Implementation, Sales, Customer Success, Content Development, and other teams.

You’ll thrive in this hybrid role surrounded by an engaged, collaborative team deeply committed to your success. Join us and help shape what’s next!

What you’ll get:
• Meaningful Purpose. Your work helps organizations operate with integrity and protect their people—at a scale few companies can match.
• High-Performance Environment. We move with urgency, set ambitious goals, and expect excellence. You’ll be trusted with real ownership and supported to do the best work of your career.
• Candid, Supportive Culture. We communicate openly, challenge ideas—not people—and value teammates who embrace bold thinking and continuous improvement.
• Growth That Matters. You can count on authentic feedback, strong accountability, and leaders invested in your success so you can achieve real growth.
• Rewards for Results. We provide clear, competitive compensation designed to recognize measurable outcomes and real impact.
What you’ll do:
• Review incoming digital and print project requests, create and manage cases in Salesforce, assign tasks to appropriate team members or resources, and manage projects from inception through delivery while coordinating cross-functional teams
• Provide accurate and timely quotes in response to scoping requests, factoring in production, translation, and vendor costs
• Manage Awareness and Code of Conduct projects from initial intake to final delivery, ensuring alignment with stakeholder expectations and timeline
• Collaborate with the Creative Team to oversee project asset creation
• Coordinate with external vendors, including print and translation partners, to ensure deliverables meet quality, cost, and timeline expectations
• Track KPIs to understand workflow performance and use that data to continuously improve efficiency and quality
• Attend and facilitate customer meetings to gather detailed project requirements
• Serve as a point person for content-specific product information and articulate customer needs as business requirements
• Contribute to Content Operations initiatives and projects, including workflows, process creation, and continuous improvement efforts
• Use and support AI-enabled solutions to streamline workflows and improve team productivity
What you’ll bring:
• 3+ years of experience in project or program management, customer service, or operations
• Proven ability to manage workflows and ensure timely delivery of outputs
• Experience managing vendors and using project planning and CRM platforms
• Highly organized, self-starter with strong communication and presentation skills, and the ability to manage multiple priorities in a fast-paced environment
• Flexible, adaptable, and independent, with a willingness to take on evolving responsibilities
• Experience using AI tools in the workplace
• Comfortable in an Agile development environment
• Culture Agility. Comfort working in a fast-paced, candid environment that values innovation, healthy debate, and follow-through
• AI Readiness. Curiosity and willingness to use AI and emerging technologies to elevate your work and deliver smarter outcomes
• Fuel performance and outcomes. Leverage your job competencies and champion NAVEX’s core values
Our side of the deal:
• We’ll be clear, we’ll move fast, and we’ll invest in your success. You deserve to be supported, challenged, and rewarded for the impact you make—and we commit to doing that every step of the way.
