About the Opportunity

Under the direction of the Senior Project Manager or Project Director, the Senior Project Coordinator will partner with internal stakeholders (Account, Scientific & Medical Services, Editorial, Creative, and Market Access teams), in the development and execution of client deliverables within the medical communications field.

Responsibilities

The Senior Project Coordinator will support Project Managers in day-to-day tasks, including (but not limited to)

  • Congress and journal research
  • Mock and real congress and journal submissions/uploads
  • Management of poster uploads, printing, shipping
  • Maintenance of contact databases (team dependent)
  • Project and budget set-up (templated projects only) in finance system
  • Updating and tracking timelines and project components
  • Sending out client/author reviews and tracking responses
  • Publications database (eg, iEnvision, PubStrat, PMSolution) reviews and tracking (client specific)
  • Updating status reports
  • MLR (eg, Veeva) uploads and tracking (client specific)
  • Collecting and verifying author agreements and COIs, any journal/congress required forms
  • Triggering invoices (based on details provided by PM in financial tracker)
  • Running budget vs actuals reports and alerting CS to overages
  • Ensuring cross-team collaboration and best practices

Qualifications

  • Bachelor's degree preferred
  • Minimum 1-3 years of experience in project management, medical communications, publications, and/or pharmaceutical company
  • Must have experience and proficiency with at least one of the following Publications database (eg, iEnvision, PubStrat, PMSolution)
  • Effective organizational skills; attention to detail and timelines; high degree of accuracy
  • High aptitude for business and financial acumen
  • Ability to coordinate and execute multiple tasks in a fast-paced environment
  • Ability to evaluate, interpret and analyze both written and verbal communications
  • Understanding of industry guidelines, regulations, and requirements
  • Well-developed professional communication skills, including written and interpersonal
  • Ability to master various content management systems
  • Working knowledge of Microsoft Office applications (Outlook, Word, PowerPoint, Excel)

The estimated salary for this position and similar roles Citrus may consider for applicants ranges from $70,000 to $85,000 per year. This is the approximate pay range that Citrus anticipates it will pay for this and similar positions at the time of this posting.
