Senior Project Coordinator

Compensation: $80,000 - $85,000 / year


The Senior Project Coordinator provides leadership to the Project Coordinator function while strengthening job setup accuracy, ERP operational discipline, and inventory process consistency across service centers.

This role serves as the bridge between award and execution, ensuring documentation completeness, standardized workflows, and consistent operational practices. The position combines PC team oversight with process governance responsibilities to improve lifecycle reliability and reduce operational friction.

This is the primary escalation and performance leadership role for the PC function.

Key Responsibilities

Essential Duties and Responsibilities

1. PC Team Leadership & Oversight

  • Provide day-to-day oversight of Project Coordinators across service centers
  • Balance workload to ensure timely job entry and documentation flow
  • Conduct performance check-ins and coaching
  • Lead onboarding and training for new PCs
  • Serve as escalation point for PC-related execution issues

2. Job Setup & Lifecycle Discipline

  • Ensure award documentation is complete prior to ERP entry
  • Standardize job setup procedures across service centers
  • Conduct periodic audits for accuracy and compliance
  • Identify recurring workflow breakdowns and implement corrective actions
  • Support smooth transition from award to execution

3. ERP Operational Governance

  • Promote consistent operational use of Sage Intacct
  • Reinforce cost code consistency and order entry standards
  • Identify recurring entry errors and provide corrective training
  • Partner with Director of Preconstruction & Operational Performance to address systemic process gaps

Note: Accounting retains responsibility for financial processing and reconciliations.
4. Inventory Process Ownership

  • Develop and document standardized inventory procedures
  • Clarify service center responsibilities for material movement and adjustments
  • Monitor inventory variance trends and escalate concerns
  • Improve consistency of inventory reporting within Sage
  • Support scalability of inventory controls as operations grow

5. Change Order & Documentation Controls

  • Ensure change order documentation is complete and timely
  • Reinforce contractual notice tracking procedures
  • Support documentation readiness for audits or compliance reviews

6. Cross-Functional Coordination

  • Serve as liaison between Project Coordinators and Operations Managers
  • Elevate systemic lifecycle issues to Director of Preconstruction & Operational Performance
  • Support execution readiness while maintaining service responsiveness

Skills, Knowledge & Expertise

Qualifications

  • 4+ years of experience in construction project coordination, operations, or related field
  • Working knowledge of job costing principles
  • Experience with ERP systems (Sage Intacct preferred)
  • Understanding of service-based construction workflows
  • Demonstrated ability to lead peers and promote process consistency
  • Strong organizational, analytical, and communication skills
