Job Brief:

This is a project coordination position responsible for supporting the effective implementation of the Strengthening Cold Chain System under the MOMENTUM Integrated Health Resilience (MIHR) project, a global Department of State funded initiative that seeks to improve access to and use of quality MNCH and nutrition services in fragile settings worldwide. The MIHR/Philippines project will be focused on strengthening the cold chain and immunization systems in priority areas of the country. The Senior Project Assistant ensures that assigned activities are well-coordinated, properly documented, and implemented in accordance with project timelines, standards, and donor requirements.

Working under the Project Manager, the Senior Project Assistant coordinates closely with the Department of Health (DOH), Centers for Health Development (CHDs), local government units (LGUs), and other stakeholders to support the delivery, installation, and monitoring of cold chain equipment and related field activities. S/he plays a key role in facilitating communication among partners, tracking implementation milestones, and ensuring that project operations contribute to strengthened vaccine cold chain performance and overall health system resilience across the Philippines.

Responsibilities:

Program Project Coordination and Implementation Support

  • Assist the Project Manager in coordinating the day-to-day implementation of project activities across target sites.
  • Support field-level coordination with DOH, CHDs, LGUs, and service providers for site assessments, installation, and commissioning of cold chain equipment.
  • Track activity progress and follow up on pending deliverables to ensure timely completion of project milestones.
  • Assist in preparing and maintaining updated activity schedules, tracking tools, and implementation logs.
  • Provide on-site coordination and logistical support during equipment delivery, installation, or monitoring visits.

Partner and Stakeholder Engagement

  • Serve as a point of contact for coordination with DOH, CHD, and LGU focal persons on scheduling, reporting, and field follow-up.
  • Assist in organizing coordination meetings, technical visits, and review sessions with government counterparts and partners.
  • Prepare meeting notes, progress updates, and summary reports for submission to the Project Manager.
  • Support relationship management with local partners, ensuring effective communication and collaboration in all project activities

Monitoring and Documentation

  • Maintain updated records of equipment delivery, installation status, and site readiness in coordination with the technical and logistics teams.
  • Assist in collecting and validating data on project progress, training participation, and field activities.
  • Support the preparation of simple monitoring summaries and documentation for reporting and learning purposes.
  • Ensure that records and documentation meet Corus International and donor compliance standards.

Field and Operational Support

  • Participate in field monitoring visits and provide implementation support as assigned by the Project Manager.
  • Coordinate with suppliers, contractors, and service providers to confirm delivery schedules and field activities.
  • Help identify challenges in the field and relay them promptly for resolution and follow-up.

Supervisory:

  • This is not a supervisory position

Education & Experience:

  • Completion of at least high school education; a diploma or coursework in public health, project management, or related field is an advantage.
  • Minimum of two (2) years of relevant experience in project coordination, preferably in health, logistics, or development programs.
  • Experience working with or supporting government counterparts such as DOH, CHDs, or LGUs is preferred.

Knowledge, Skills and Abilities:

  • Basic understanding of vaccine cold chain systems, logistics, or health service delivery.
  • Good coordination and organizational skills, with attention to detail and follow-through.
  • Ability to build and maintain effective working relationships with government and partner organizations.
  • Strong communication and teamwork skills, with the ability to work independently under minimal supervision.
  • Basic computer literacy, including Microsoft Excel and Word for reporting and record keeping.
  • Willingness to travel to project sites and support field coordination activities as required.

  • The physical requirements that may be needed to execute responsibilities may include bending, standing, and walking, etc.
  • The mental requirements that are essential to satisfactorily executing the responsibilities outlined in this job description include, but are not limited to: learning new tasks, comprehending, and retaining information, completing tasks independently, effectively communicating verbally and in writing, demonstrating proficiency in using computer software to perform assigned tasks.

Working Conditions, Travel and Environment

  • IMA Philippines has an in-person work policy, with all employees reporting to the office Monday through Friday. Remote working may be allowed subject to the approval of the supervisor. The employee must be available to work outside normal office hours or on the weekends as required.
  • This position must be able to travel as required for standard domestic and international business purposes. While performing the duties of this job in different locations, the employee may be exposed to precarious settings under high-security risks and/or very basic living conditions and outside weather conditions, as well as to infectious diseases.
