About the role...

Reporting to the Head of Head of Strategy Deployment and Execution, the Senior Process Administrator will coordinate the creation, maintenance and continuous improvement of operational processes within FONN. Working closely with operational leaders, project teams and system users, the role will help translate requirements into practical forms, templates, checklists, workflows and project structures.

The role combines strong process administration and system capability with a helpful, collaborative approach. The postholder will support colleagues to understand and use agreed processes, maintain accurate system set-up and documentation, and help embed consistent ways of working across the business.

Who we are

Connolly is a family-run specialist in complex, whole-house refurbishment – delivered by our own Connolly people. We were founded in 1980 by Tony Connolly who still pops in to keep an eye on us.

We work for social landlords across the North of England to create warmer, safer and decent homes. This includes refurbishing internal spaces such as kitchens and bathrooms, upgrading exterior windows and doors, plus retrofitting homes to make them more energy efficient and compliant with latest legislation.

What you’ll be doing

• Coordinate the creation and maintenance of operational processes, forms, templates, checklists and workflows in FONN.
• Work with Operations leaders to understand project requirements and support accurate, consistent project set-up in the system.
• Gather and document user requirements, asking clear questions and checking that proposed solutions meet operational needs.
• Support process-mapping sessions and turn agreed requirements into practical system configurations and guidance.
• Maintain naming conventions, permissions, version control, approvals, ownership records and change logs.
• Coordinate user testing, record feedback and ensure identified issues are followed through before changes are released.
• Prepare user guides, process maps and training materials, and provide day-to-day support to system users.
• Monitor data quality, process compliance and user feedback, escalating concerns and suggesting improvements.
• Work across Operations, Business Support and other functions to promote consistent processes and joined-up working.
• Maintain confidentiality and follow company policies when handling project, colleague and customer information.

What you'll bring

• Experience administering, implementing or improving processes within an IT system, workflow platform, ERP or construction management system.
• Experience creating or maintaining digital forms, templates, checklists, workflows or project structures.
• Strong interpersonal and relationship-building skills, with a collaborative and service-focused approach.
• Excellent verbal and written communication, active-listening and questioning skills.
• Confidence working with operational leaders, project teams and users with different levels of system knowledge.
• Patience and professionalism when supporting users, responding to queries and explaining agreed processes.
• An organised and proactive approach, with the ability to manage competing priorities and follow actions through to completion.
• Strong attention to detail, problem-solving skills and commitment to accurate, high-quality work.
• Ability to remain calm, adaptable and constructive when requirements or priorities change.
• Strong Microsoft 365 skills.
• Experience of FONN or a comparable operational system is desirable.
• Ability to handle sensitive and confidential information appropriately.
