Under regular supervision of the Records Supervisor, performs professional difficult administrative work in supervising the employees of the Records Division and its operation; provides assistance to the Records Supervisor; planning, coordinating, and implementing training for all new and existing Records employees; assist the Records Supervisor with reviewing processes to make them more efficient and effective; does related work as required or assigned.
Example of Duties:
- Acts as division head in absence of the Police Records Supervisor
- Assists the Police Records Supervisor with administrative tasks regarding staffing, performance appraisals, accreditation, audits and other related administrative duties
- Provide leadership and supervision to Records Division personnel
- Plan, conduct and maintain goal-orientated training for new trainees
- Manager all training activities within the Records Division to include: new hire orientation, new hire training, assigning new hires to a trainer/supervisor, and refresher training for all division personnel
- Review and evaluate daily observation reports completed by trainee and trainer/supervisor; takes corrective action to improve the level of performance; meets with trainer/supervisor to evaluate performance
- Participate in the review, interview, and selection process of Records applicants
- Assist the Police Records Supervisor with conducting BLET, Citizen's Police Academy, and other in-service training
- Assist the Police Records Supervisor with employee recognition, morale and engagement activities
- Maintain division roll call, roll call book, and schedule overtime as needed
- Process expungements received from the Court
- Attend meetings, including Command Staff meetings, in the absence of the Police Records Supervisor
- Take and distribute Records Division Staff Meetings notes
- Serve as a notary for the Records Division
- Assist the Police Records Supervisor with developing and maintaining division policies and procedures
- Oversee the Lexis-Nexis Online Reporting System
- Ability to perform all duties of a Police Records Specialist and a Police Records Squad Supervisor
- Serve as CJLEADS administrator

Education and Experience:
Any combination of education and experience equivalent to a high school diploma and experience with records management systems modern office practices, and law enforcement data systems. At least 3 years of supervisory experience is required.
Knowledge, Skills and Abilities:
Comprehensive knowledge of law enforcement records management systems, state and national crime reporting standards; ability to establish and maintain effective working relationships with the public, other employees, and other officials; ability to supervisor and train others; ability to communicate effective orally and in writing; knowledge of department policies and procedures; ability to provide supervision and leadership to personnel.
Physical Requirements and Work Conditions:
Must be able to lift or move up to 25lbs and work with large and small objects. This position works indoors and may be exposed to repetitive motion/operations and long periods of sitting.
Supplemental Information and Requirements:
Possession of a valid state of North Carolina driver's license, DCI certification, FTO certification, and CJLeads certification. Ability to become a Notary Public.
