We are seeking a Senior Payroll Specialist Italy & Spain to join the team based in Rome, Italy; Grottaglie, Italy; Milan, Italy; Barcelona, Spain or Madrid, Spain.

The Senior Payroll Specialist is an experienced hands‑on payroll professional hired execute and support payroll processes for Italy, Spain and other European payrolls. This role focuses on accurate, compliant, and timely payroll processing, issue resolution, reconciliations and strong operational documentation while partnering with local payroll vendors, external providers and cross‑functional teams.

This position is hybrid. This means that the selected candidate will be required to perform some work onsite at one of the listed location options. This is at the hiring team's discretion and could potentially change in the future.

Position Responsibilities

  • Oversee end‑to‑end payroll runs ensuring accuracy and timely delivery; provide direct support or validation for France payroll runs as required.
  • Manage pre‑payroll validations, data cleansing and exception handling to minimize rework for payroll cycles together with TCS.
  • Reconcile payroll outputs, investigate post‑payroll discrepancies, perform root‑cause analysis and implement corrective actions across supported countries.
  • Coordinate with local and global payroll vendors (e.g., CloudPay, TCS, local vendors) and internal platform owners (Workday, ServiceNow) for integration issues, configuration clarifications and incident resolution.
  • Maintain and update detailed country‑specific payroll process documentation and transaction‑level work instructions.
  • Support testing and deployment of payroll system changes, patches and enhancements; validate results and document outcomes.
  • Produce regular payroll reports and support KPI tracking; escalate trends, country‑specific risks and compliance issues to the manager.
  • Support onboarding and training of vendor payroll teams (e.g., TCS) and act as a subject matter resource for payroll queries.
  • Ensure compliance with local payroll regulations, tax rules and statutory reporting requirements.
  • Participate in continuous improvement initiatives, suggest automation opportunities and strengthen controls for multi‑country payroll processing.

Technical Competencies

  • Strong knowledge of local payroll legislation, social security, taxes and statutory filings — mandatory.
  • Hands‑on experience with global payroll platforms and integration tools; familiarity with CloudPay, Workday and ServiceNow advantageous.
  • Solid skills in gross‑to‑net calculations, benefits, deductions, off‑cycle payments and corrective payroll actions across European pay rules for those countries assigned.
  • Proficient in post‑payroll reconciliation, troubleshooting and analytical root‑cause techniques for complex exceptions.
  • Understanding of upstream HR data flows (time & attendance, benefits, HRIS) and downstream integrations to finance and statutory reporting.
  • Strong spreadsheet skills and ability to extract, manipulate and present payroll data.

Basic Qualifications (Required Skills/Experience)

  • Bachelor's degree or higher.
  • Minimum 5 years of hands-on payroll experience.
  • Demonstrated experience supporting Italy, Spain (in-house or vendor-managed).
  • Experience with at least one global payroll platform and vendor-managed payroll environments.
  • Experience with payroll reconciliations, statutory compliance, and payroll reporting across multiple European countries.
  • Fluency in Italian, Spanish, and English (spoken and written).

Preferred Qualifications (Desired Skills/Experience)

  • French language skills.
  • Experience supporting additional European countries beyond Italy and Spain.

This requisition is for a locally hired position in Italy or Spain. Candidates must have current legal authorisation to work immediately in Italy or Spain.
