Our client is a global events and media company at the intersection of AI and creativity. They bring together top brand leaders, artists, technologists, and creative agencies for high-profile experiences that make industry headlines.
The company is growing from a series of standout events into a year-round media and community brand, building the systems needed to scale across summits, dinners, digital products, and new markets. The team is small, senior, and founder-led, made up of A-players who move fast.

Their 2026 calendar includes flagship summits, popup events at major industry conferences, a global dinner series, and year-round content across newsletter, podcast, social, and video. Past events have featured well-known artists and leaders from major tech and entertainment brands, with a 2026 partner roster that includes some of the most recognizable names in AI and creative technology.


About the Role

Our client is looking for a Senior Operations Manager to own the systems and processes that keep the company running.

You'll take what the Founder is building and help it run smoother, move faster, and scale without breaking. You'll build repeatable systems, document them clearly, and turn a fast-moving, founder-led company into one that runs like clockwork.

You'll own the CRM, the audience and community data, and the cross-functional work, working closely with the Producer, Programming Lead, Marketing Lead and Partnerships Lead.

This role is ideal for someone who loves building systems from scratch, thrives in fast-paced startup environments, and is genuinely passionate about AI and creativity.

Responsibilities

Company Systems & Operating Infrastructure

  • Build and own the AI-enabled systems and infrastructure that run the company across summits, dinners, sponsors, and media — so it scales without the Founder in the room
  • Design for repeatability and document for transferability; every process should run itself and survive after you
  • Own the operating cadence and be the single point of accountability for "where are we on X"
  • Flag blockers, risks, and dependencies to the Founder weekly, before they become crises
  • Continuously improve the company's tooling and workflows (Notion, Slack, Drive, and the broader stack)

CRM, Data & Audience

  • Own the CRM as the single source of truth for the company's audience, community, sponsors, and speakers — clean data, clear structure
  • Own guestlists across every summit, salon, and dinner: curation, invitations, RSVPs, and the data behind who's in the room
  • Turn audience data into an asset — segment, organize, and surface the right people for the right rooms and partnerships
  • Grow and nurture the community year-round (attendees, alumni, VIPs) so the audience compounds between events
  • Help oversee the host committee: recruiting, onboarding, coordination, and keeping members activated

Sponsor Success

  • Own a portfolio of sponsor relationships day to day, from signed deal through activation, recap, and renewal, as the point of contact partners trust
  • Make sure every sponsor deliverable happens — track each contract commitment, hold the team and partners accountable, and never let a promise slip
  • Run sponsor calls and check-ins — drive the agenda, capture and own next steps, and keep momentum between events
  • Bridge sponsors and the team — translate partner needs to Producer, Programming, and Marketing so they land with the right owner
  • Turn great delivery into growth — surface wins, build the recap story, and tee up renewals and upsells for the Partnerships Lead

Special Projects & Initiatives

  • Own cross-cutting projects end to end: new formats, expansion bets, and operational priorities that need a clear owner
  • Be the person who makes sure nothing important falls through the cracks as the company hits its business and revenue goals
  • Drive each project from idea to done: scoping, coordinating across the team, and delivering

Requirements

  • You've run operations in a fast-moving, founder-led environment
  • You've owned a CRM and audience or community data for premium events, membership, or media brands — and made it an asset, not a mess
  • You've owned projects end to end and driven them to done across a team
  • You've built systems and processes that other people now run on, with measurable outcomes
  • You've owned client, sponsor, or account relationships day to day: running calls, tracking deliverables, and turning delivery into renewals
  • You've managed many relationships and stakeholders at once with composure and discretion

  • You read the room and coordinate with senior personalities (VIPs, hosts, partners, speakers) with warmth and discretion
  • You're a self-starter, comfortable with ambiguity, and happy to wear different hats — you love building from an early stage
  • You're a tinkerer genuinely into AI — you actively use AI tools and find new ways to put them to work automating the busywork
  • You're genuinely passionate about the intersection of AI, creativity, and culture — excited about the topic, not just the role

Additional Information:

  • Work Hours: Remote, with availability for EST/PST coordination
  • Commitment: Contract-to-hire — 2 to 3 month trial, then converts to full time in the fall
  • Travel: Availability to travel for flagship summits and select events through the year
  • Contract Type: Independent Contractor
