Senior Operations Coordinator

Location: This position is based in our Walkersville, MD office. The typical work schedule is Monday through Friday, 8:00 AM–5:00 PM EST.

What you will do

Executive Leadership Support

  • Provide high-level operational and administrative support to senior leaders across Operations, Platform Sales, and PMO organizations

  • Manage complex executive calendars, leadership meetings, and scheduling across multiple time zones

  • Anticipate scheduling conflicts, shifting priorities, and business needs to optimize executive effectiveness

  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and visa logistics

  • Manage expense reporting and reconciliation through Concur or equivalent systems

  • Prepare presentations, executive briefings, agendas, meeting materials, and leadership communications

  • Capture meeting outcomes, action items, and follow-up activities to ensure accountability and execution

Operational Coordination & Governance

  • Support governance routines, steering committees, operational reviews, and leadership forums

  • Track deliverables, deadlines, and action items across cross-functional stakeholders

  • Drive alignment and communication across Operations, PMO, Sales, Finance, HR, Legal, and external partners

  • Maintain operational transparency by supporting reporting structures, documentation management, and status tracking

  • Assist leadership teams in improving decision-making processes, information flow, and organizational effectiveness

Project & Event Management

  • Coordinate leadership off-sites, workshops, internal events, and operational meetings

  • Manage logistics including venue coordination, catering, travel, audiovisual requirements, and attendee communications

  • Support execution of operational initiatives and cross-functional projects with multiple stakeholders and timelines

  • Ensure seamless coordination and follow-through for high-visibility meetings and business activities

Continuous Improvement & Digital Enablement

  • Identify opportunities to streamline workflows, simplify processes, and improve administrative efficiency

  • Leverage AI-enabled tools, automation platforms, and digital collaboration technologies to reduce manual work and improve productivity

  • Standardize templates, governance routines, communication processes, and reporting structures

  • Drive improvements in meeting effectiveness, travel planning, action tracking, and document management

  • Promote operational excellence through lean thinking, process optimization, and continuous improvement methodologies

What we are looking for:

Required Qualifications:

  • Bachelor’s degree in business administration or related field preferred

  • 3–7+ years of experience supporting senior leaders, business operations, project coordination, or executive operations functions

  • Experience in a fast-paced corporate, operational, life sciences, manufacturing, or matrixed business environment preferred

  • Advanced proficiency with Microsoft 365 applications including Outlook, Teams, PowerPoint, Word, and Excel

  • Experience with Concur, SharePoint, project management platforms, and digital collaboration tools preferred

  • Process improvement mindset with experience simplifying workflows and driving efficiency

  • Comfort leveraging AI productivity tools and automation technologies

  • Strong problem-solving, decision-making, and critical thinking abilities

  • Ability to work independently while building strong collaborative partnerships across teams
