
HR Senior Officer - Expat management
The Kibali Gold Mine Team is seeking to recruit one (1) HR Senior Officer - Expat management tojoin and grow our team.

Responsibilities:
Manage the end-to-end immigration workflow: EVT, VVL, work permit, visa renewals, residence permit;
Ensure timely submission of requests to the DGM Doko and Kinshasa offices.
Track all expat passports in Doko, Kinshasa, embassies and on-site.
Maintain a real-time dashboard of expiration dates (passports, visas, EVTs, PVVs);
Ensure full compliance with DRC immigration regulations and Barrick audit requirements.
Collaborate with government offices, consultants, embassies to expedite processing;
Prepare immigration files for new expatriates.
Coordinate pre-arrival arrangements: flights, letters, accommodation, medical care, security.
Organize integration sessions for expatriates.
Managing excesses: cancelling permits, managing exit visas, travelling, obtaining clearance.
Ensure timely return of passports and documents upon departure.
Manage rotation schedules and ensure that travel bookings match the validity of documents.
Report the risks of expired or nearly expired documents.
Coordinate with the Travel Office, Aviation and Security.
Provide emergency support in the event of lost documents or disruptions.
Maintain accurate digital immigration records ;
Prepare weekly and monthly reports on the status of expatriates;
Support internal, government, and Barrick audits globally;
Ensure the confidentiality and legal compliance of expatriate files;
Quickly identify migration risks and escalate appropriate measures;
Act as a focal point for DGM Doko, DGM Kinshasa, Watsa/Bunia authorities, embassies and consultants;
Build relationships to reduce processing times;
Support expatriates with health insurance applications and assessments from MSO, BUPA, and other international insurance houses;
Make sure you understand the site's rules and local expectations;
Coordinate evacuation protocols when necessary;
Develop standard operating procedures for immigration and passport workflows;
Implement digital trackers to reduce manual labor;
Identify systemic delays and propose solutions;
Align expatriate policies with those of HR operations;
Align with the principles of ISO 30415 diversity and inclusion, applied to all our processes, including recruitment.
Work in compliance with ISO 14001 and 45001 Standards
Qualifications:
Certifications in international mobility, compensation and benefits, or employment law are assets.
MBA (Master of Business Administration), MSc en Resources Humaines, International Business / Global Management
Experience and Skills Requirements:
5 to 8 years of experience in Human Resources, including 3 to 5 years specifically in:
Expatriate Management / International Mobility
Immigration and Visa Procedures
Work Permits and Residence Permits
Onboarding and offboarding of expatriates
Excellent problem-solving and analytical skills;
Solid knowledge of construction processes and project management
Proficiency in reading technical documents and specifications
Good knowledge of local labor law and immigration regulations
Experience with HRIS/HRIS, personnel file management and expatriate follow-up
Advanced Excel
Comfort with HR / HRIS systems
Handling large volumes of data
Basic descriptive analysis
Pivot tables
Dashboard formatting
Data Cleaning
Ability to maintain documentation that complies with legal and audit requirements
