Responsible for providing all administration services such as Catering & Banqueting, Cleaning & Messenger services, Abu Dhabi Ports Vehicle allocation, Rent a car services for the Company, Mail Services, arranging & supply of newspapers & periodicals, plants & flowers etc. Provision of Office Services such as stationeries, furniture, shifting, and conference room’s bookings. Also responsible for the related administrative work; filing, distributing correspondences, maintaining records, liaison work, and document preparation/formatting among others. Also responsible for assisting for any admin related tasks, management & follow up
Core Responsibilities:
• Arranging Catering & Banqueting Services.
• Managing Transportation such as Company Fleet, Rent a Car Services, Bus services etc., which includes preparing the quotation, evaluating & purchasing and involving in all the necessary arrangement for action.
• Coordinating with Rent a Car Company and the end user for Traffic Fines, Accidents, Car replacement, Routine Car Service etc.
• Managing Abu Dhabi Ports Drivers and setting up schedule for their routine work.
• Arranging the supply of Dailies & Periodicals and also Academic/Org. memberships.
• Arranging social / team building activities.
• Arranging Flowers & Plants for the Company
• Managing Conference rooms & auditoriums.
• Arranging Security Passes & Car Park Entry passes.
• Arranging the supply of Plants & Flowers.
• Arranging the supply of stationary, Grocery and office company stamps, etc.
• Arranging Binding & Faxing Services
• Arranging the board rooms for the meetings
• Managing outgoing & incoming mails & Couriers
• Responsible for interaction with suppliers, customers, tenants and also both internal and external executives and assistants.
• Assisting in preparing the Monthly report, Circulars etc. Coordinate with other departments clerical or administrative as directed.
• Preparing ERs, for Stationeries, Furniture, Vehicles etc
• Registering the Office Service Requests in the system.
• Coordinating with Finance for petty cash, invoices, ERs, AFEs, etc also coordination with other depts., for any admin related services.
• Settling the payment / invoices with the Finance.
• Processing Hotel / Flight bookings for business travel and Health Insurances for the employees and their dependents.
• Frequent work contacts with immediate associates, employees of all units and Contractors’ Personnel for coordinating admin related works.
• To ensure prearranged office services to Abu Dhabi Ports premises in professional manner to smooth operations.
Command of Arabic spoken is preferable.
Years of Experience:
