TeleSolv Consulting is seeking an experienced Senior Meeting Planner/Event Facilitator to support government conferences, meetings, and stakeholder engagement activities through comprehensive event planning, facilitation, and logistical coordination services.
This position supports the federal government and may require travel to meeting and conference locations throughout the United States.
The Senior Meeting Planner/Event Facilitator serves as a key member of the project team responsible for planning, coordinating, and executing conferences, workshops, meetings, and special events. This role requires exceptional organizational skills, strong communication abilities, and extensive experience managing complex events from initial planning through post-event reporting and closeout activities.
This position supports a federal agency responsible for engaging stakeholders, contractors, grantees, and government personnel through meetings and conferences. The Senior Meeting Planner/Event Facilitator ensures events are professionally executed, logistics are effectively managed, and attendees receive a high-quality experience while supporting the Government’s mission and objectives.
Responsibilities:
- Plan, coordinate, and facilitate government meetings, conferences, workshops, and stakeholder events.
- Manage all logistical aspects of meetings and conferences, including venue coordination, room reservations, and event scheduling.
- Prepare meeting materials, agendas, presentations, binders, name badges, table tents, posters, and other conference-related materials.
- Coordinate event registration processes and establish registration platforms that meet applicable federal requirements.
- Take meeting notes and prepare draft and final meeting minutes for Government review and distribution.
- Coordinate hotel accommodations, travel arrangements, and conference facility requirements.
- Monitor event planning timelines and provide routine updates regarding readiness, milestones, and logistical preparations.
- Coordinate with Government personnel, conference facilities, vendors, and stakeholders to ensure successful event execution.
- Facilitate conference sessions, meetings, and discussions as required.
- Prepare and manage audio-visual requirements, ensuring equipment is operational prior to events and properly removed following event completion.
- Assist in resolving logistical issues, attendee concerns, and event-related challenges.
- Support the development of reports, briefings, correspondence, and presentation materials.
- Conduct post-event activities, including satisfaction surveys and collection of attendee feedback.
- Ensure meeting materials are completed and distributed in accordance with project schedules and requirements.
- Support multiple concurrent events while maintaining quality, timeliness, and customer satisfaction standards.
Qualifications:
- Must be a U.S. Citizen.
- Bachelor’s degree from an accredited college or university.
- Minimum of ten (10) years of experience in event planning, event supervision, and event facilitation.
- Ability to obtain and maintain any required Government suitability or background investigation.
- Demonstrated experience coordinating conferences, workshops, meetings, and large-scale events.
- Experience preparing professional documents, reports, presentations, briefings, and meeting materials.
- Strong experience with Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Experience preparing, editing, and finalizing correspondence, presentations, and briefing materials.
- Ability to coordinate meetings, teleconferences, stakeholder engagements, and event logistics.
- Strong written and verbal communication skills.
- Exceptional organizational, multitasking, and time management abilities.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong customer service and stakeholder engagement skills.
- Experience coordinating with diverse groups of participants, vendors, and Government personnel.
- Ability to work independently while maintaining a high level of professionalism and attention to detail.
- Experience tracking event schedules, deliverables, and action items through completion.
