As Meetings and Events Team exec you will be responsible for handling the event plans for all contracted business,s co-ordinating all details on behalf of the client ad create a comprehensive and detailed event plan for the operation and the client. This will be for our hotels outside of London howver based at St Pauls
As Meetings and Events Team Manage you will:
• To manage the day-to-day operation of the enquiry team
• Recruit, train, and coach team members
• Conducting diary checks – double bookings & stacking
• Handle any book outs as part of the business strategy
• Audit team members bookings to ensure entry standards are maintained
• Team inbox management
• Suggest ways to improve demand and conversion and event planning of M&E
• Process all incoming Meeting & Events enquires ensuring they are dealt with and processed in line with individual agent and company time frames.
• Ensure Leonardo Test call criteria is followed when taking enquires via telephone; a minimum of one test call per month is made to the office and a minimum score of 85% is acceptable/required.
• Produce proposals for all enquires ensuring there is sufficient detail which is in line with the spec of each event.
• Increase conversion of enquiries by developing client relationships and maximizing sales leads
• Use the provided demand calendar and pricing structure when quoting for all enquires.
• Arrange site inspections ensuring the inspections are fulfilled professionally, efficiently and effectively and mirror the requirements of the visiting client
• Produce, issue and chase the return of contracts for events.
• Ensure Sales & Catering are updated with accurate and relevant information ensuring all revenue is loaded in line with event contract and final detail requirements.
• Identify new sales leads, chase and secure the lead with the guidance of the Sales Manager.
• Knowledge of competitor set facilities and offering to be up to date at all times.
• Conducting Diary Checks – double bookings & stacking
• Produce and check all function sheets for all events ensuring all necessary detail is noted
• Ensure all rooming list details and requirements are gathered and handed across to Groups Coordinator
• Ensure the hotels are informed of all up and coming events
• Postings are completed daily and we have the relevant payment method is in place before the client arrives on site.
Key Responsibilities:
• Be familiar of sister hotels where cross-selling opportunities exist and ensure leads are forwarded on and followed up.
• Carry out the company's customer relations policy and communicate hotel services to guests.
• Maintain high standards of self-presentation at all times.
• Work in accordance with Standard operating procedures for the department.
Knowledge Required:
• Minimum 85% test call score
• An awareness of hotel corporate and conference sectors.
• Strong knowledge of Microsoft office (in particular excel).
• An understanding of Opera / Fidelio PMS systems to include Sales & Catering.
