Job Description

RESEARCH OFFICE

The Research Office (RO) serves as the secretariat of the Research Committee (RC) and its sub-committees, and supports the development, implementation and review of various research-related policies and activities at Hong Kong Baptist University. The RO promotes research excellence, impact, and culture. With a dynamic team of over 20 professionals, the RO manages a comprehensive portfolio spanning external and internal grant administration, research ethics, research centres, the Research Assessment Exercise (RAE), and research promotion and outreach.

Senior Manager (25260653)

Reporting to the Director of RO and the Head of Administration, the appointee will serve as a senior member of the Research Office, leading and overseeing the Grant Management Team. The appointee will play a key role in driving the end-to-end administration of external and internal research grants, supporting the University's strategic research development and ensuring the effective delivery of grant management services to the research community.

Responsibilities:

  • Provide overall leadership and oversight of the Grant Management Team, supervising staff across managerial, executive and officer grades;
  • Oversee the full lifecycle of external research grant administration, including call preparation, application coordination, vetting, submission, funding acceptance, agreement execution, change requests, reporting and project closure;
  • Manage administration of grants from the Research Grants Council (RGC), Innovation and Technology Commission (ITC), Mainland funding bodies and other external agencies;
  • Coordinate internal funding schemes and research support programmes administered by the Research Committee;
  • Provide secretarial and administrative support to the Research Committee and its sub-committees, including preparation of reports, papers and statistical analyses;
  • Develop and maintain workflow procedures, performance pledges and quality standards to enhance team efficiency and service quality;
  • Maintain and enhance research information management systems (e.g. IRIMS) to ensure accurate and timely data for reporting and decision-making; and
  • Manage the Research Grant Consultation Panel to provide expert guidance to faculty members on grant applications.

Requirements:

  • Possess a recognised university degree, with a minimum of 8 years of relevant professional experience, preferably in research administration or grant management in the tertiary education sector;
  • Strong familiarity with Generative AI (GenAI) tools and demonstrated ability to use them effectively to facilitate work, combined with excellent analytical, problem-solving abilities and attention to detail;
  • Demonstrated leadership and people management skills, with experience in supervising and developing a professional team to meet tight deadlines;
  • Thorough knowledge of the research funding landscape in Hong Kong, including RGC, ITC and Mainland funding schemes; and
  • Excellent command of written and spoken English and Chinese (including Putonghua).

The initial appointment will be made on a fixed-term contract of three years. Re-appointment thereafter is subject to mutual agreement.

Salary will be commensurate with qualifications and experience.
