About the team you are joining

Reporting to the Corporate
Secretary and General Counsel, the Senior Manager Legal Operations and
Administration (SMLOA) is a skilled professional with knowledge, skills and
experience in legal operations in in-house legal departments. The SMLOA is responsible for the efficient and
effective management and operation of IATA’s legal department systems and
procedures including IATA’s contract tool, legal matter management system and
the oversight of administrative support to the General Counsel and the lawyers
in the legal team. The SMLOA reports to
the General Counsel and leads an experienced team located in Montreal and Geneva with dedicated legal
operations and administrative responsibilities including the Business Operations
Coordinator, Legal Administrator and
Paralegal.

What your day would be like

  • Leads the Legal Operations and Administration team within the Legal Services department to ensure performance is aligned with IATA’s strategic objectives;
  • People management for the Legal Ops and Admin team;
  • Collaborates with the Directors Legal Services and General Counsel on developing improvements, implementing change and management initiatives across the Legal Workstreams to enhance the day-to-day efficiency, consistency and effectiveness of the team;
  • Supports the design, implementation and continuous improvement of legal intake, triage and matter allocation processes, including intake requirements, matter categorisation, workflow discipline and escalation pathways; Supports the development and maintenance of consistent legal operating procedures across legal workstreams, including processes for contract review, matter management, risk assessment and approvals;
  • Supports the development and operationalization of legal playbooks, template materials and customer facing guidance;
  • Works with lawyers and business stakeholders to improve the quality, completeness and timeliness of legal requests and to support consistent use of legal processes and tools;
  • Developing strong relationships within IATA with those interacting with IATA’s legal processes, ERP, legal intake tools and contract tool;
  • Developing strong relationships with IATA’s external law firms’ legal operations team and legal vendors
  • Managing, implementing and reviewing technology including IATA’s contract tool, matter management systems and online legal research resources;
  • Leading projects to improve efficiency and consistency in the delivery of legal services;

We would love to hear from you if you have

  • Experience in project management or similar role;
  • Relevant qualifications and experience in in legal project management, legal operations, legal administration or legal technology;
  • A minimum of 7 years’ experience in legal project support, legal operations or administration in an in house legal department or equivalent in increasingly senior roles;
  • Demonstrated experience with legal matter management, contract lifecycle management, legal intake, workflow design, reporting, dashboards and legal technology implementation;
  • Experience designing, implementing or improving legal department processes, including stakeholder adoption, change management and performance reporting;
  • Sound understanding of in-house legal department operations, including contract review workflows, legal risk processes, external counsel management, document management and administrative support;
  • Commitment to personal development and developing team members;
  • Excellent command of English;
  • Superior written and oral communication skills;
  • Excellent analytical, problem-solving, and communication skills;
  • Effective, confident communicator and a team player.
