Senior Manager (Internal Grants and Secretariat Services) (26270176)

The Research Office (RO) delivers central administrative services across a broad spectrum of research support, including grants and funding schemes, research ethics, integrity and policy, research committees, research culture and infrastructure, and institution-level partnerships and collaborations.

We seek an experienced Senior Manager to lead Internal Grants, Secretariat Services, and a professional team, reporting to the Head of Administration with oversight from the Director.

Responsibilities:

  • Provide strategic and operational leadership for internal research-funding schemes, Research Committee and Research Ethics Committee secretariat services, and related governance processes;
  • Oversee the full lifecycle of internal funding schemes, including call preparation, eligibility and compliance checks, assessment and panel processes, approval records, award administration, project and financial monitoring, reporting and closure;
  • Serve as the principal administrative coordinator and undersecretary for the Research Committee, Research Ethics Committee and assigned panels, ensuring timely papers, accurate records, action tracking and implementation of decisions;
  • Monitor regulatory and policy developments relating to research ethics, AI use in research, research-data management, privacy and data governance, and translate them into clear guidance, forms and operational controls; and
  • Carry out ad hoc tasks and strategic projects as assigned.

Requirements:

  • A good bachelor’s degree or above, preferably with a postgraduate qualification;
  • At least 8 years of relevant professional experience, preferably in research administration, committee governance, research ethics, grant management or higher education, with substantial supervisory or managerial experience;
  • Sound knowledge of university research governance and a good understanding of research ethics, data governance, privacy and research-data management;
  • Strong leadership, project-management, analytical and policy-drafting skills; able to manage sensitive cases, competing deadlines and records;
  • Excellent interpersonal skills and credibility in liaising with senior academics/ committee chairs;
  • Excellent written and spoken English and Chinese; Putonghua advantageous; and
  • Strong digital literacy and the ability to use research-management systems, data analytics and AI tools effectively and responsibly.

The initial appointment will be offered on a fixed-term contract of three years. Re-appointment thereafter will be subject to mutual agreement.

Salary will be commensurate with qualifications and experience.
