Join our Griesheim Biobank team as EU Sample Management Coordinator (Logistics Coordinator & Import/Export Analyst).

How You´ll Add Value

As EU Sample Management Coordinator, you will coordinate the shipment of biological samples, laboratory materials, and related goods throughout Europe and internationally. In this role, you will also help ensure compliance with applicable customs, import/export, and trade regulations by supporting the accurate preparation, review, and coordination of shipment documentation and related processes.

The role offers a combination of hands-on logistics coordination, customs administration, customer communication, and process improvement. Success in this position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while ensuring shipments meet internal standards and external regulatory requirements.

What You´ll Do

  • You are part of a four-person logistics team that serves as the central point of contact for logistics matters across our operations, as well as for customers and service providers.

  • You coordinate and manage shipping orders in day-to-day operations, ensuring timely, accurate, and compliant execution.

  • Your routine tasks include packaging and labeling goods ready for shipment, as well as preparing cover letters, freight documents, and customs documentation.

  • You support import and export compliance activities, including reviewing shipment data for customs relevance, helping ensure correct classification, documentation completeness, and adherence to internal procedures and applicable regulations.

  • You are responsible for coordinating with customs authorities, brokers, and other relevant parties to ensure smooth border crossings, including in time-critical cases.

  • You help monitor and maintain records related to import/export activities and support internal compliance checks, audits, and process documentation updates where required.

  • You support the continuous development of our logistics processes and service offerings, including with a focus on compliance, efficiency, and sustainability.

  • You also support incoming goods processing when needed, checking for completeness and informing the relevant departments, for example in the case of deliveries of chemicals and reagents.

  • Additionally, you are responsible for inventory, as well as managing and ordering logistics-related materials.

  • You understand and strictly adhere to standard operating procedures (SOPs) in English and contribute to maintaining high ethical and quality standards in all shipment-related activities.

What You´ll Bring

  • Successfully completed vocational training or a degree in business administration, logistics, customs, or a similar qualification.

  • Practical work experience in logistics, customs, import/export, or within a freight forwarding company.

  • Sound understanding of customs clearance processes, shipping documentation, and import/export compliance requirements; experience with dangerous goods is a plus.

  • Familiarity with trade compliance topics such as tariff classification, country of origin, customs value, restricted party screening, or license-related checks is an advantage.

  • Very good communication skills, both written and verbal.

  • Reliability clearance in accordance with Section 7 of the German Aviation Security Act (LuftSiG).

  • Team player with enthusiasm for working in an international team.

  • Proficient in standard MS Office software; advanced Excel skills and familiarity with ERP systems are an advantage.

  • Forward-thinking and solution-oriented approach to work, with a strong awareness of compliance and best practices.

  • Strong hands-on mentality.

  • Attention to detail and excellent prioritization skills.

  • Fluent in German and English (B2 level or higher).
