Job Description

Senior HR Specialist (Payroll & Operations)

This senior operational role is designed for a key client of Hexa People. The successful candidate will join our client's team directly as a subject-matter expert (SME) to manage end-to-end HR operations, with a heavy emphasis on payroll management, employee data integrity, local labor law compliance, and benefits administration. In addition to owning complex operational workflows, this role acts as a mentor to junior team members and an advisor to leaders across the organization.

  • Payroll & Attendance Management: Oversee the full payroll cycle, validating time and attendance records (absences, vacations, overtime) in time management platforms (e.g., Sisqual) and coordinating seamlessly with external payroll providers.
  • Employee Lifecycle & Onboarding: Manage contract drafting, addendums, accesses, tools, and documentation from initial onboarding through offboarding; conduct administrative and payroll orientation sessions for new hires.
  • Benefits, Health & Safety: Administer employee benefits (meal cards, life/health insurance, benefits portals), process insurance invoices, handle work accident reporting, and manage occupational health medical screenings in compliance with legal timelines.
  • Reporting & Compliance: Compile, analyze, and present HR operational metrics (FTE allocation, Power BI reports, annual bonus calculations) for management, ensuring strict adherence to labor laws, company policies, and GDPR standards.
  • Stakeholder Support & Mentorship: Address complex queries from employees and managers, provide system training to new leaders, and mentor junior HR team members to drive continuous process improvements.

Key Requirements

  • Professional Experience: 5+ years of hands-on experience in HR Operations, with significant expertise in local payroll management, time & attendance tracking, and HR data handling.
  • Legal & Compliance Acumen: Deep working knowledge of local labor legislation, payroll mechanisms, occupational health requirements, and data privacy regulations (GDPR).
  • Technical Skills: Proficiency with HRIS systems, time tracking tools (e.g., Sisqual), and strong MS Office skills (advanced Excel for data analysis and PowerPoint for management presentations).
  • Leadership & Mentorship: Proven ability to handle complex cases autonomously, advise line managers on policy interpretation, and train/mentor junior HR team members.
  • Attributes: Exceptional attention to detail, strong ethical standards for handling confidential data, and a customer-service mindset within a fast-paced environment.
  • Language Proficiency: Strong communication skills in English and Portuguese.
