FTE: Full time, 1.0 FTE

Salary: T-13, $22.29 to $23.30 per hour, DOE

Job Summary

The Senior High Registrar registers and transfers Anchorage School District students, maintains student files and records, tracks district graduation data, has significant responsibilities in graduation preparations, and performs other clerical tasks in a high school office. The position has a retirement association with the Public Employees' Retirement System (PERS).

Job Requirements

The following are required:

  1. A high school diploma or equivalent, or current enrollment in a GED program.
  2. Three years of clerical experience. Equivalent education may be considered in lieu of related work experience.

The following are preferred:

  1. Knowledge of first aid.
  2. Knowledge of office practices, data processing procedures, terminology, and filing systems.
  3. Ability to operate standard office machines including copier, ten-key calculator, word processing, and computers, both Macintosh and Windows, with a variety of applications.
  4. Ability to perform clerical work involving independent judgment, accuracy, and speed.
  5. Ability to maintain clerical records and prepare reports.
  6. Ability to learn, interpret, and communicate rules, regulations, policies, and procedures.
  7. Ability to type accurately at an acceptable rate of speed.
  8. Ability to communicate rules, regulations, policies, and procedures.
  9. Knowledge of ASD computer systems such as, Q, EmpCenter, IFAS, or Aesop Absence Management.
  10. Ability to plan, lay out, and conduct clerical operations involving transactions requiring effective accountability and accurate controls.
  11. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Essential Job Functions

  1. Conducts registration transactions with students, parents, teachers, counselors, administrators, and the Anchorage School District requiring detailed knowledge of rules, procedures, and policies.
  2. Works with counselors in scheduling students, registrations, transfers, and withdrawals. Analyzes transcripts from out of district/country to provide accurate placement of students in courses.
  3. Documents, initiates, updates, and maintains students' cumulative folders and permanent records, ensuring the accuracy of all transcripts and records.
  4. Provides data to the Records Management Department.
  5. Supplies information involving facts and interpretations of cumulative records, enrollment numbers, and class sizes. Performs work, including statistical reports, with independent judgment, speed, and accuracy.
  6. Prepares correspondence and reports including, but not limited to, compiling accurate data for state and federal funding, tracking graduation data to meet district goals, and maintaining accurate student graduation requirements.
  7. Takes responsibility for all aspects of graduation preparation, e.g., the graduation database, seating charts and walking order, the ordering of diplomas, certificates of completion or deferred diplomas, and the honor designation seals.
  8. Maintains working relationships with military recruiters, APD, college recruiters, OCS, Social Security Office, Child Support Enforcement, and State of Alaska PFD office, and provides information requested within FERPA laws.
  9. Operates various machines and does incidental typing and office related work as required.
  10. May direct work of other employees and student assistant.
  11. Demonstrates excellent communication and customer service skills.
  12. Establishes and maintains a professional relationship with staff, parents, students, administrators, and the public.
  13. Maintains confidentiality and inspires the confidence and cooperation of staff, parents, students, administrators, and the public.

Physical /Mental Demands

The physical demands of this job require frequent standing, walking, sitting, speaking and hearing. Specific visual abilities are also required. The employee is regularly required to reach with his/her hands and arms and occasionally lift items weighing less than 40 lbs. Additionally, the employee must be able to understand vague and implicit instructions, be able to readily recall facts and details, handle conflict and make effective decisions under pressure. The employee must have the ability to effectively manage the stress of working with students, parents, and other employees representing diverse cultures, personalities, and work styles in a dynamic work environment.

Work is performed in a professional environment with a wide variety of individuals having differing functions, personalities and abilities, including working with diverse groups of people in a variety of different settings.

While performing the duties of this job the employee may be regularly exposed to a video display. The employee may be exposed to outdoor weather conditions. The noise level in the work environment is usually moderate.
