Job Description

This role is part of the Health Information Services Department, a shared service for the Dartmouth Health health system that centers on the patient’s health (medical) record. The Senior Health Information Specialist is responsible for advanced scanning and indexing tasks to ensure health information is properly stored in a patient’s electronic health record. The role includes complex records management responsibilities for our large paper medical record collection. The Senior Health Information Specialist will undertake quality reviews of scanning and indexing work, provide training and at-elbow support for new Health Information Specialists, and investigate and resolve documentation that has been incorrectly indexed.

Responsibilities

  • Records Management:
  • Prepares and maintains inventory records logs for on and offsite storage in accordance with DH policy. Knowledgeable about the various records collections and their locations and contents.
  • Retrieves and reshelves records from storage as necessary.
  • Responsible for understanding and managing chart tracking application in electronic medical record system.
  • Participates in software upgrade testing and deployment projects.
  • Maintains record collections in adherence to DH retention policy and regulatory or legal requirements.
  • Purges paper medical record collection in accordance with DH policy.
  • Scanning/Indexing:
  • Performs more complex scanning and indexing tasks, including but not limited to, locating “lost” documents in the document management system using audit trails and advanced knowledge of the flow of digital images through the application and reviewing error logs in scanning queues.
  • Provides in-person or virtual at-elbow support to other Health Information Specialists across the health system.
  • Assists with the creation of training, education, and support materials for team processes and other DH staff.
  • Performs quality reviews of workflows, participates in process improvement activities, and audits patient records.
  • Investigates, corrects, and reports misfiles.
  • In addition:
  • Attends to second tier customer service issues. Is highly professional in interactions with customers through phone calls, emails, and in-person visits. Documents task status and escalations.
  • Is able to independently prioritize and accurately perform a variety of duties within a system that has frequently changing assignments, priorities and deadlines.
  • Maintains and safeguards all health information received in both electronic and paper form.
  • Works well in a team environment.
  • Maintains total confidentiality regarding all patient information.
  • Performs other duties as required or assigned.
  • Qualifications

    • 3+ years in a health information specialist role
    • High school diploma or equivalent in education, training and experience.
    • Demonstrated experience handling confidential material.
    • Demonstrated leadership skills
    • Excellent attention to detail, organizational, interpersonal and communication skills.
    • Understanding of medical terminology preferred.
    • Experience in Epic electronic medical record system preferred.
