Job SummaryThe Senior Finance Coordinator provides expertise in financial transactions, procurement, statement reconciliation, and employee reimbursements. Manages a procurement and operations staff and portfolio while serving as subject matter expert in these areas. Duties & ResponsibilitiesFiscal Administration:Manage the review of monthly account statements to assure accuracy and compliance with generally accepted accounting principles and University/center policies and procedures.Evaluate business activities to determine compliance with center and university policies, and in accordance with best business practices. Take corrective action as necessary to resolve problems independently or in conjunction with others to assure compliance with center and university requirements.Manage center procurement processes and ensure procurement rules are followed.Manage complex Center portfolios, including analyzing spending and projections.Develop financial spreadsheets and communicate financials to project teams, directorates, and NCSA Leadership.Manage the closing of center-level funds at fiscal year-end, including reviewing the appropriateness of existing expenses for the year, assisting staff with submitting final transactions, and resolving any issues before the year ends.Serve as subject matter expert to the business office and support staff members in the areas of University policy, campus policy, and university resources.Manage the DCM department card manager, including establishing new cardholder accounts and verifying annual training of card holders.Act as a liaison between the center and other campus units to facilitate things such as budget transfers, policy sharing, and joint expenditures.Supervision:Supervise the center’s procurement, records management, and transactional staff, conduct annual performance evaluations, approve leave time, manage and implement training when necessary, across the center, and work closely with the Assistant Director of Budget and Resource Planning on employee-related issues or concerns.Identify areas to improve fiscal activity, which includes the recommendation and implementation of innovative organizational changes and procedures to improve financial operations and streamlining administrative functions to maximize and preserve resources.Business Operations and Compliance Management:Maintain funding payables/receivables to and from other campus units, including managing the dollar amounts of funded initiatives (MOUs/commitments) to other units and overseeing the receipt of campus funds to the center.Oversee center endowments and quasi-endowment fund reports, and record the market value gain/loss as reported by the University Foundation.Consistently evaluate the effectiveness of existing policies and how effective they are in supporting center business goals. Develop, implement, and revise center policies in conjunction with the administration as deemed necessary to ensure compliance with university regulations and best business practices.Other Duties as Assigned Minimum QualificationsBachelor's degree in business administration, management, or a field related to the position. Six (6) years of professional business, financial, and/or managerial work experience. Experience in finance within a university setting. Experience supervising and/or leading a team. Preferred QualificationsUniversity procurement experience.Experience with University financial systems, including Banner, BA4 Central shadow system, Savannah, Tableau, and University General and Financial guidelines.Experience with Microsoft Excel and automated database tools.The University of Illinois Certified Research Administrator certification.Ability to evaluate routine accounting problems and analyze/interpret complex accounting records and reports.Knowledge, Skills and AbilitiesAdvanced knowledge of Generally Accepted Accounting Principles. Training in University or fund accounting fundamentals. Ability to perform detailed work involving the application of accounting theory to routine accounting problems. Ability to perform detailed work involving written or numerical data and make arithmetical calculations rapidly and accurately. Ability to complete tasks accurately, with an acute attention to detail. Ability to communicate effectively.Ability to work effectively with others, as well as independently.
This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 9/24/2026. The salary range for this position is $90,000-95,000.
