Senior Facility Operations Analyst


This role helps keep athenahealth’s Chennai workplace running smoothly by coordinating facilities operations, vendor support, petty cash activities, and day-to-day site needs. The position is based in Chennai, India and is in-person This role supports a reliable and well-maintained work environment through structured coordination, timely issue resolution, and close partnership with internal teams and external service providers. This person will report to Manager, athenaEnvironment

Team summary:
The AHI Environment team is responsible for maintaining safe, functional, and well-supported workplace operations across athenahealth sites. The team manages daily coordination with suppliers, contractors, operations partners, and office maintenance teams to ensure routine and ad hoc activities are completed effectively.

The team supports a broad range of facilities functions, including materials management, infrastructure upkeep, campus-wide services, electrical systems, water management, and equipment maintenance. It works closely with internal stakeholders to maintain service quality, respond to operational needs, and support a productive workplace environment. Strong coordination, clear communication, and practical problem-solving are essential as the team partners with external vendors and internal teams to deliver dependable facilities support.

Essential Job Responsibilities:

  • Manage day-to-day facilities operations to support a safe, functional, and well-maintained office environment.
  • Coordinate with vendors, contractors, and service providers to track service delivery, resolve issues, and support site requirements.
  • Oversee petty cash handling activities in line with approved processes and internal controls.
  • Monitor facility-related requests, maintenance issues, and operational follow-ups to ensure timely closure.
  • Support planned and unplanned workplace activities, including office maintenance, materials coordination, and infrastructure needs.
  • Maintain accurate records for vendor interactions, service updates, petty cash transactions, and facilities work logs.
  • Analyze recurring operational issues to identify patterns, recommend improvements, and strengthen service reliability.
  • Collaborate with internal stakeholders to support workplace readiness and smooth execution of facilities tasks.
  • Apply AI tools when appropriate to improve task tracking, summarize routine information, and support faster learning of new work methods while using human judgment to confirm accuracy and service impact.

Additional Job Responsibilities:

  • Assist with office moves, seating changes, and workplace rearrangements as needed.
  • Support basic coordination for facility inspections, maintenance schedules, and vendor visits.
  • Help prepare simple status updates and documentation for facilities activities.
  • Participate in emergency response coordination related to workplace operations when required.
  • Contribute to process improvements that strengthen efficiency and service consistency.
  • Perform other facilities-related tasks aligned with team priorities and business needs.

Expected Education & Experience:

  • Bachelor’s degree in any relevant discipline or equivalent practical experience.
  • 4 to 6 years of experience in facility management, workplace operations, or a related support function.
  • Hands-on experience with facility management, including coordination of maintenance, service requests, and workplace support activities.
  • Experience handling petty cash processes with attention to documentation and internal controls.
  • Experience working with vendors and service providers, including follow-up, issue coordination, and service tracking.
  • Ability to manage multiple operational tasks and respond to changing workplace needs in a structured way.
  • Strong communication skills for working with internal stakeholders, contractors, and external vendors.
  • Working knowledge of tracking facilities activities, maintaining records, and supporting administrative reporting.
  • Comfort using common office tools and digital systems to manage updates, documentation, and routine coordination.
