Senior Facilities Coordinator

The Senior Facilities Coordinator is responsible for performing Facilities and Supervisory functions. This includes ensuring all facilities are fully operational and in good condition. Supervision of mail, copy and hospitality staff members, adherence to department budgets and addressing repair requests in CMMS system.

This position requires an individual who is a self-starter and can work with minimal supervision and possess effective organizational, communication and interpersonal skills.

Key Responsibilities

Ensuring that the facility is fully operational and in good condition

Managing and supervising maintenance staff and custodial teams

Coordinate facility renovations and maintenance activities

Inspecting the facility to identify issues and planning for repairs or renovations

Developing and implementing facility management policies and procedures

Ensuring compliance with health and safety regulations

Coordinating with vendors and contractors to ensure services are delivered on time and within budget

Overseeing the installation and maintenance of equipment such as HVAC systems, security systems, and other facility components for triple net leased properties

Managing inventory of facility supplies and equipment

Assist in preparing and managing the facility budget, tracking by Cost Center and GL code and ability to explain budget variances

Knowledge of building operating systems and ability to communicate with vendors daily.

Responding to emergency situations or breakdowns of mechanical systems as needed and acting as the point of contact with landlord and/or building management

Asset tracking and management and understanding of asset depreciation

Other duties as assigned by management

Requirement

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • High School diploma or equivalent; additional certification in office administration and/or Facilities Management is a plus.
  • Previous experience as a Facilities Coordinator or similar role.
  • Familiarity with financial and facilities management principles
  • In-depth understanding of office management procedures and departmental and legal policies
  • Excellent organizational and leadership skills.
  • Excellent verbal and written communication skills.
  • Proficiency in basic computer applications and office equipment operation.
  • Proficiency in MS Office and Facility Management Software.
  • Computer Skills: Intermediate MS Office, Smartsheet, and CMMS systems administration.
