The Senior Experience Center Event Planner is responsible for managing high-level events for the Experience Center on the Redmond Campus. This role serves as a strategic partner to internal stakeholders and clients, ensuring seamless delivery of world-class experiences aligned with each Experience Center’s standards and capacity.

The planning process includes facilitating client and stakeholder meetings, overseeing scheduling and logistics, managing billing and fees, and ensuring account team onboarding and awareness. This role also leads the pre-qualification process by evaluating incoming requests against established criteria, priorities, and availability.

Key Responsibilities

  • Leverage booking tools and internal systems to review, schedule, and approve requests for VIP level events, tours, summits, and internal/external meetings
  • Manage complex and non-standard operational requests with a solutions-oriented approach
  • Ability to plan and execute large executive conferences and multi-day summits
  • Demonstrates outstanding expertise, management, and consultation skills when conducting business with customers, vendors and to the Experience Center team
  • Own billing processes, including tracking and reconciliation of all event-related costs, fees, and expenses
  • Coordinate logistics such as furniture delivery/removal and space setup requirements
  • Partner with internal teams and third-party vendors (Catering, AV/Tech, Transportation, Interpretation) to ensure consistent, high-quality service delivery
  • Oversee multiple inboxes, calendars, and booking systems with a high level of organization and responsiveness
  • Lead all logistical communications with stakeholders, ensuring clarity, alignment, and timely updates
  • Manage speaker sourcing, coordination, and communications as needed
  • Facilitate and actively participate in team and cross-functional meetings
  • Maintain and organize program resources and documentation across OneNote, Teams, and SharePoint
  • Provide mentorship and cross-training to team members, ensuring seamless coverage and operational continuity
  • Support additional initiatives, projects, and operational improvements as assigned

Preferred Qualifications

  • Bachelor’s degree preferred
  • Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with Microsoft enterprise tools
  • Demonstrated ability to quickly learn and adapt to new tools and technologies
  • 3–5 years of experience in customer service, hospitality, or client-facing roles
  • 3+ years of event planning experience, including corporate events such as executive briefings, product launches, conferences, or multi-event program management
  • Proven ability to manage multiple high-level events simultaneously in a fast-paced environment
  • Exceptional professionalism with the ability to engage effectively with executive-level stakeholders
  • Strong interpersonal, hospitality, and customer service skills
  • Excellent written and verbal communication skills
  • Highly organized, detail-oriented, and process-driven, with the ability to remain flexible and adaptable
  • Self-motivated with strong prioritization skills and sound judgment
  • Comfortable working within a global environment, interacting with diverse cultures and business practices
