Job Description

A private principal is seeking an experienced, highly organized, and resourceful Senior Executive Assistant / House Manager to provide executive, personal, and property management support. This is a long-term opportunity for an experienced professional who enjoys variety and thrives in a role requiring discretion, initiative, and exceptional organizational skills. The position combines executive assistance with oversight of the principal's residence and personal affairs.

The ideal candidate will possess excellent judgment, anticipate needs before they arise, and operate with minimal supervision while maintaining complete confidentiality.

This is a hybrid position with approximately 2–3 anchored on-site days per week at the principal's Tampa residence. The remaining work may be performed remotely, depending on business needs and the weekly schedule. The on-site days are intended for property oversight, vendor coordination, household management, and responsibilities requiring an in-person presence. Executive and administrative responsibilities can largely be performed remotely.

Flexibility is essential, as occasional additional on-site support or schedule adjustments may be required.

Schedule This is a full-time, Monday through Friday hybrid position. The successful candidate will typically work on-site two to three days per week, with the remaining work performed remotely. Flexibility is essential, as the schedule may be adjusted to accommodate the principal's needs.

Job Responsibilities:

Executive & Personal Support

The successful candidate will serve as the principal's trusted executive and personal assistant, providing support across multiple business interests and personal affairs.

Responsibilities include:

  • Complex calendar and appointment management
  • Email management and professional correspondence
  • Domestic and international travel coordination
  • Preparing itineraries, meeting agendas, reports, and presentations
  • Research for new business ventures and strategic initiatives
  • Tracking active projects, action items, and correspondence across multiple business interests
  • Coordinating with the principal's existing professional support network, including bookkeeping/AP, advisors, attorneys, accountants, and family office contacts
  • Managing appointments and service providers related to the principal's personal affairs, including medical, legal, and financial matters
  • Light project management for ventures currently in development
  • Maintaining organized digital and physical records
  • Identifying opportunities to improve workflows using AI, automation, and cloud-based productivity tools

Household & Property Management

The House Manager responsibilities focus on ensuring the residence operates efficiently while serving as the primary point of contact for vendors and household operations.

Responsibilities include:

  • Coordinating household vendors, including landscaping, pool maintenance, fountain maintenance, pest control, housekeeping, and the weekly florist
  • Monitoring vendor performance and scheduling maintenance services
  • Proactively identifying maintenance issues and coordinating repairs
  • Organizing household records, warranties, manuals, registrations, and service schedules
  • Coordinating with the housekeeping team
  • Purchasing and maintaining household supplies
  • Grocery shopping and dry-cleaning pickup as needed
  • Assisting with packing and unpacking for travel
  • Supporting occasional entertaining, including light preparation for small gatherings
  • Overseeing small household projects and ensuring timely completion

Job Requirement;

The successful candidate will demonstrate:

  • Experience as a Senior Executive Assistant, Personal Assistant, House Manager, or similar role supporting a private principal or executive
  • Exceptional organizational and time-management skills
  • Strong independent judgment and problem-solving ability
  • High level of discretion and confidentiality
  • Excellent written and verbal communication
  • Strong attention to detail with outstanding follow-through
  • Ability to prioritize multiple responsibilities with minimal supervision
  • High level of technology proficiency, including Microsoft Office, Google Workspace, AI tools, cloud-based platforms, and project management software
  • Professional, polished, and service-oriented demeanor

Compensation - $90,000–$120,000 annually commensurate with experience, Benefits to be discussed during the interview process
