
We are seeking a highly resourceful Operations and Executive Assistant to support a fast-growing New York City property management business. This is not a traditional administrative role. The ideal candidate is an exceptional problem-solver who can independently research unfamiliar issues, coordinate multiple stakeholders, manage vendors, and take ownership of projects from start to finish.
Success in this role requires initiative, critical thinking, strong AI research skills, and the ability to solve novel problems with minimal supervision.
Key Responsibilities
● Research and solve complex operational issues across property management, legal, vendor, and tenant-related matters.
● Independently identify and contact relevant professionals, service providers, attorneys, government agencies, contractors, and vendors.
● Coordinate maintenance projects and oversee third-party maintenance coordination providers.
● Track project progress and ensure follow-through on action items.
● Manage communications with tenants, vendors, contractors, and property owners.
● Use AI tools, search engines, and other technology to efficiently gather information and develop solutions.
● Source specialized vendors and service providers for unique situations.
● Support executive decision-making by providing recommendations and researched solutions.
● Maintain project tracking systems and operational documentation.
● Escalate issues appropriately while proactively driving resolution.
Required Qualifications
● 3+ years of experience in operations, executive assistance, project coordination, property management, or a related field.
● Exceptional problem-solving and critical-thinking abilities.
● Demonstrated ability to work independently with limited direction.
● Strong internet research and AI-tool proficiency (ChatGPT, Gemini, Claude, etc.).
● Excellent written and verbal English communication skills.
● Strong organizational and project management capabilities.
● Ability to work during U.S. Eastern Time business hours.
● Chinese (Mandarin or Cantonese) fluency.
Preferred Qualifications
● Property management or real estate experience.
● Experience coordinating vendors and contractors.
● Experience managing remote teams or virtual assistants.
● Familiarity with CRM, project management, and communication tools.
