You’ll be at the centre of a fast-moving executive environment, managing complex priorities, schedules, communications, meetings and key business deliverables. More than traditional executive support, this role will help coordinate executive workflows, governance activities, reporting and strategic and operational priorities across the organisation.

You’ll build strong relationships with senior leaders and internal and external stakeholders, using sound judgement, initiative and discretion to keep priorities moving and ensure executives have the information and support they need to make effective decisions.

What you’ll be doing

  • Provide high-level confidential support to our Executive Director Prison Operations.

  • Coordinate executive workflows, priorities, commitments and key deliverables.
  • Prepare and coordinate reports, briefings, submissions and follow-up actions.
  • Support governance, reporting, information management and compliance activities.

  • Identify competing priorities, emerging issues and administrative risks, escalating where appropriate.
  • Maintain accurate and confidential records and documentation.
  • Identify opportunities to streamline processes and improve the way executive support is delivered.

About you

You’re an accomplished Executive Assistant who can operate confidently in a complex and sensitive environment. Highly organised and proactive, you know how to anticipate what’s needed, manage competing demands and exercise discretion when dealing with confidential matters.

You’ll bring:

  • Demonstrated experience providing high-level executive and administrative support to senior executives.
  • Exceptional organisation and time-management skills in a fast-paced environment.
  • Experience managing complex calendars, meetings, correspondence and executive documentation.
  • Strong written and verbal communication and relationship-management skills.
  • Excellent attention to detail and experience preparing and quality-assuring executive materials.
  • Advanced capability across Microsoft Word, Excel, Outlook, SharePoint, Teams and PowerPoint.
  • The ability to work autonomously, use sound judgement and maintain strict confidentiality.
  • Proven ability to establish effective relationships with senior stakeholders.
  • Experience in a regulated, correctional, healthcare or similarly complex operational environment.
