What You’ll be Doing

The Senior Executive Assistant will support the administrative activities of the Executive Director. Will provide the strategic planning, leadership and organizational strengths in handling multiple projects and coordinate schedule(s) in a demanding fast-paced environment. Requires communication and involvement with all departments at all levels of the organization.


During a Typical Day, You’ll

• Manage and coordinate daily schedules, meetings (internal & external), arrange all phases of travel (both commercial and private, international and national) for the Executive.
• Prepare correspondence; communicate extensively utilizing a variety of technology including telephone (with special emphasis on intense screening of Executive calls), electronic mail and voicemail.
• Design and develop spreadsheets, forms, Power Point slides, maintain divisional organizational charts (using Power Point), various documents (Word, etc) as directed by the Executive.
• Support other departmental and company staff as needed i.e. (mail, seating, supplies, etc.); in addition to performing other administrative duties as necessary to assure smooth office, company and departmental functionality.
• Work with other departments to accomplish weekly, monthly and quarterly reporting and various projects as instructed.
• Track vacation schedules for department; responsible for all expense related activities relating to (receipt collection and follow-up, preparation & submission of expense reports, payment delivery & tracking of all related information).
• Follow up on reports, checks, wire transfers, delegation of authority, and purchase requisitions


What You Bring to the Role

• BA/BS or equivalent work experience.
• Proficient in Microsoft Products “MANDATORY” (Outlook, Word, Excel & Power Point).
• Excellent oral, interpersonal, telephone and communication skills.
• Proven ability to handle and prioritize multiple tasks.
• Ability to keep information confidential.
• Detail oriented and capable of planning and coordinating every aspect of key executive level meetings i.e., committee meetings, and client meetings, etc.
• Independently arrange all phases of travel both commercial and private.
• Strong time management skills
