As a Senior Executive Assistant in Diversified Industrials, you will thrive in a collaborative environment, representing the Line of Business Group Head with professionalism, discretion, and sound judgment while consistently delivering exceptional work. You will engage daily with senior internal stakeholders and external clients across multiple lines of business and will be expected to adjust procedures, processes, and approaches as needed to meet departmental objectives and evolving priorities.
Job responsibilities
Manage complex executive calendar with multiple stakeholders, time zones, and shifting priorities; proactively resolve conflicts and ensure agendas, dial-ins, and pre-reads are in place.
Screen and triage incoming calls and inquiries, assessing urgency and routing appropriately while maintaining strict confidentiality and discretion when handling sensitive information.
Coordinate internal and external meetings end-to-end, including scheduling, room/VC set-up, materials distribution, attendee management, and real-time adjustments as priorities change.
Arrange complex domestic and international travel, preparing detailed itineraries and ensuring flights, hotels, ground transportation, and visa/passport requirements (as applicable) are handled seamlessly.
Plan and execute internal and external events, overseeing logistics such as venue coordination, catering, transportation, security/building access, and attendee communications.
Process invoices and T&E expenses for team members in accordance with firm policies and established timelines; track submissions, follow up on exceptions, and ensure accurate coding/approvals.
Support staff onboarding and offboarding, including requesting equipment, coordinating workspace setup, and initiating system and application access requests in partnership with relevant teams.
Draft and polish high-quality emails and communications to stakeholders at all levels, ensuring clarity, accuracy, professionalism, and appropriate tone.
Maintain department documentation such as organizational charts, distribution lists, executive bios, and other key team reference materials, keeping content current and version-controlled.
Operate with a high degree of autonomy, anticipating needs, managing routine activities without prompting, and proactively flagging risks, issues, or delays with proposed solutions.
Assist with formatting and editing spreadsheets and presentations, including preparing print-ready materials (printing/binding as needed) for client meetings and leadership reviews.

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
