Job Description

Printfresh is seeking a highly organized and proactive Senior Design Coordinator to help drive the seasonal product-development process across sleepwear, apparel, accessories, home and soft goods.

This role serves as the operational center of the Design team, ensuring that design information, tech packs, samples, meetings and seasonal deliverables are accurate, organized and moving forward on schedule. The Senior Design Coordinator will independently manage design documentation and follow-through, anticipate potential gaps, and maintain clear communication across Design, Product Development, Technical Design, Print/CAD and Merchandising.

The ideal candidate has several years of experience supporting apparel or soft-goods design and understands how products move from initial concept through development.

This is a full-time, in-house position, working out of our Philadelphia office M-F.

Responsibilities

Seasonal Design Coordination

  • Independently coordinate Design team deliverables throughout the seasonal development process.
  • Set up and maintain seasonal projects, calendars and task lists based on the company’s time-and-action calendar.
  • Monitor deadlines, identify potential delays and proactively follow up with team members to keep work moving.
  • Maintain accurate line plans, color documents, style information and seasonal presentations.
  • Establish and maintain clear systems for organizing shared design files and communicating current information.
  • Support Design leadership in prioritizing seasonal work and preparing for key milestones.

Tech Packs and Design Documentation

  • Create style numbers and establish initial tech packs for new styles.
  • Input and maintain approved sketches, colorways, artwork, trims and design details.
  • Own the accuracy and organization of the design portions of tech packs throughout development.
  • Translate decisions from design, fitting and sample-review meetings into updated documentation.
  • Review design packages for completeness and consistency before handing them off to Product Development.
  • Work directly with Product Development and Technical Design to resolve missing, conflicting or outdated information.
  • Help establish and uphold documentation standards across categories.

Meetings and Follow-Through

  • Plan and prepare agendas, samples and supporting materials for design reviews, proto reviews and seasonal milestone meetings.
  • Participate in cross-functional meetings and clearly document decisions, owners and deadlines.
  • Distribute concise meeting recaps and independently track outstanding action items through completion.
  • Confirm that approved decisions are reflected across tech packs, trackers, line plans and presentations.
  • Escalate unresolved decisions or timing risks to Design leadership before they affect the development calendar.

Sample and Material Management

  • Oversee the organization and maintenance of design samples, fabrics, trims, swatches and development references.
  • Establish clear systems for receiving, labeling, routing, storing and archiving samples.
  • Prepare and organize samples for design reviews, fittings, line reviews and seasonal presentations.
  • Coordinate closely with the Product Development Coordinator on sample status, routing and handoffs.
  • Manage sample and product-information requests from Marketing, Photography and Wholesale.
  • Help ensure that high-priority and approval samples are accessible and properly documented.

Artwork, Trim and Development Support

  • Track the design status of artwork, print placements, trims, labels and other product components.
  • Prepare approved artwork and development materials for Product Development handoff.
  • Make basic updates to CADs, color documents and artwork files as directed by designers.
  • Review incoming samples against approved design direction and clearly document discrepancies.
  • Maintain accurate records of design revisions, comments and approvals.
  • Identify recurring development issues and recommend improvements to prevent delays or errors.

Process and Team Support

  • Serve as a key point of coordination among Design, Product Development, Technical Design, Print/CAD, Merchandising and Production.
  • Ensure cross-functional partners are working from current, consistent design information.
  • Help improve templates, trackers, meeting structures and workflows that support the seasonal process.
  • Support onboarding and day-to-day guidance of junior coordinators, interns or temporary design support as needed.
  • Prepare prior-season product, print and performance presentations using information supplied by Merchandising.
  • Take ownership of additional operational projects that help the Design team work more efficiently.

Requirements

  • Bachelor’s degree in Fashion Design, Apparel Design, Textile Design, Product Development or a related field preferred.
  • 3–5 years of relevant experience in apparel design coordination, design operations or product development.
  • Experience supporting sleepwear, apparel, accessories, home or other sewn-product categories strongly preferred.
  • Strong understanding of apparel construction, fabrics, trims, tech packs and the product-development process.
  • Advanced organizational skills and exceptional attention to detail.
  • Proven ability to independently manage multiple deadlines and follow through across teams.
  • Confident written and verbal communicator who is comfortable identifying gaps and holding others accountable for deliverables.
  • Proficiency in Adobe Illustrator and working knowledge of Photoshop.
  • Ability to make basic CAD, colorway and design-document updates.
  • Proficiency in Google Workspace; experience with Asana, PLM or similar product-development systems strongly preferred.
  • Resourceful, collaborative and calm in a creative, fast-moving environment.
  • Able to balance a strong sense of urgency with accuracy and thoughtful communication.

  • Cross-functional teams have clear information about decisions, ownership and next steps.
  • Design processes become more efficient and consistent over time.
  • Designers are able to dedicate more time to creative work because the operational details surrounding their work are managed proactively.
