Job Description

The Senior Coordinator, Business Operations provides high-level administrative and operational support to the Chief of Pediatric Cardiology and the Executive Co-Director of the Heart Center within a dynamic academic healthcare environment. This role serves as a key partner to leadership, coordinating complex executive calendars, communications, meetings, special projects, and strategic initiatives that support the division's clinical, academic, and operational goals. The Senior Coordinator collaborates closely with hospital leadership, physicians, Baylor College of Medicine faculty, and both internal and external stakeholders to ensure seamless operations and effective execution of priorities. In addition, this position supports faculty activities, project management efforts, and evolving service line initiatives while maintaining the highest level of professionalism, confidentiality, and organizational excellence. Job Duties

  • Supports Chief of Pediatric Cardiology and Executive Co-Director of the Heart Center.
  • Maintains schedules and calendars, including clinical schedules.
  • Maintains recurring meeting agendas for monthly faculty meetings, monthly Leadership Council meetings, and weekly Associate Chiefs meetings.
  • Provides support to Baylor College of Medicine faculty.
  • Assists with recruitment and hiring of new BCM faculty.
  • Organizes candidate travel.
  • Coordinates visit itineraries, including group meals and meetings with individual cardiology faculty.
  • Supports faculty onboarding by submitting required documentation for Baylor faculty appointments and partnering with Medical Staff Services to ensure all documentation is received for Texas Children's Hospital privileges and credentialing.
  • Organizes and track faculty licenses and certifications, including PALS, ACLS, IRB training, DEA registrations, and other required credentials.
  • Partners with the Baylor International Office as needed to support faculty visa processes.
  • Executes HR processes in SuccessFactors for faculty and staff within the department.
  • Processes faculty and staff position requests in HRMS.
  • Processes faculty promotions through the Baylor Promotions Portal.
  • Manages and monitors Heart Center calendars on a daily basis.
  • Manages the Baylor faculty evaluation portal.
  • Partners with Associate Chiefs to coordinate and schedule all Cardiology faculty activities.
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience with EPIC, Success Factors, Microsoft Office: Excel, Outlook, Word, Calendar Management.
  • Ability to work independently and on a team.
  • Ability to multi-task and able to work in fast paced environment.

Work Authorization Requirement:
