Who is Data Steward?

The Data Steward is a subject matter expert (SME) within the Business that understands the impact of data to their business processes. The Data Steward is designated as responsible for Data Governance and stewardship activities. The Data Steward is appointed to ensure high-quality, well-governed data within the Business Unit or Function, in compliance with enterprise policies and risk controls

Data Steward: Role Overview

The Data Steward ensures business data is accurate, secure, well-documented, and compliant with internal standards and regulations. They work closely with data producers and consumers to manage data quality, metadata, lineage, and privacy. This role is critical in operationalizing data governance policies and supporting enterprise data initiatives

Key Responsibilities

  • Data Quality Management Define and implement Data Quality (DQ) rules and thresholds for CDEs; Monitor DQ metrics on completeness, accuracy, and validity; Track and remediate DQ issues and defects
  • Metadata Management Maintain business and technical metadata for data assets; Ensure metadata is complete, accurate, and searchable in Collibra or other tools
  • Critical Data Elements (CDEs) Management Identify, classify, and document CDEs in the Enterprise Metadata Repository; Partner with Data Owners/ Domain Leads to refine definitions and ensure consistency
  • Data Lineage & Traceability Document and review business data lineage for PII and CDEs; Ensure annual refresh of lineage review and documentation
  • Data Privacy & Security Support PII identification and Data Privacy Impact Assessments; Ensure encryption/ masking of sensitive data in transit and at rest; Apply retention policies and support audit readiness
  • Governance & Compliance Ensure compliance with all applicable data policies, standards, and controls; Support permit-to-operate governance activities during system onboarding.
  • Collaboration Work with Product Owners, Tech Leads, and Data Owners to resolve issues and align data expectations; Assist in resolving key data issues within the BU/Function

Tools Hands-on

  • Collibra – for metadata, lineage, and governance workflows
  • Power BI / Tableau – for data quality dashboards and reporting
  • SharePoint – for documentation and governance responses
  • Excel – for profiling, rule definition, and data analysis
  • ServiceNow / Jira – for tracking data issues and remediation
  • Azure Active Directory – for role-based access and stewardship groups

Skills & Qualifications

  • For Internal applications - 24 months as Consultant
  • Strong understanding of asset servicing business, data governance, quality, and privacy standards
  • Experience with metadata tools like Collibra
  • Skilled in translating governance requirements into business impact, helping Product Owners understand how missing lineage, poor data quality, or unclassified CDEs can lead to trade failures or reputational risk
  • Ability to drive governance tasks to completion by clearly communicating the business and regulatory consequences of inaction — such as regulatory reporting delays, audit failures, or data breaches
  • Familiarity with financial systems, regulatory data and regulatory frameworks (e.g., GDPR, BCBS)
  • Excellent communication and stakeholder engagement skills

Day-in-the-Life: Data Steward

  • Review DQ dashboards and address alerts (E.g. Review dashboards for missing ISINs or invalid trade dates)
  • Update metadata and lineage diagrams (E.g. Update metadata definitions for ‘Trade Status’ in Collibra)
  • Support onboarding of new data assets (E.g. Tag new CDEs for 2052a reporting and validate ownership)
  • Participate in permit-to-operate meetings for new system integrations.
  • Initiate and manage DPIA for PII data in transition or rest (E.g. Support DPIA for client account data)
  • Generate weekly reports on data quality trends and seek management attention where required
  • Respond to data-related queries and escalate risks as needed (E.g., Escalate data issues to Data Owners)
