Position Type: Full Time, About the Program

The J’s AmeriCorps Seniors Senior Companion Program connects adults age 55+ with older adults who need companionship and support to remain independent at home.

Position Summary

The Administrative Coordinator supports daily program operations, including volunteer recruitment and onboarding, client support, data entry, reporting, and general administrative duties. This position is ideal for an organized, detail-oriented person and self-starter who can manage multiple priorities, and collaborate well with staff, volunteers, clients, caregivers, and community partners.

Responsibilities

Administrative Support

  • Provide day-to-day administrative support to the Program Director, including data entry, database and record maintenance, correspondence, meeting coordination, appointment scheduling, deadline tracking, and confidential document management.
  • Maintain accurate and confidential volunteer, client, stipend, service-hour, and program records in required databases and filing systems, ensuring a high level of accuracy and attention to detail.
  • Prepare and distribute correspondence, outreach materials, newsletters, and other program communications.
  • Coordinate meetings, schedule appointments, manage multiple priorities and deadlines, and provide excellent customer service while building positive relationships with volunteers, clients, staff, and community partners.
  • Support compliance with HIPAA, AmeriCorps Seniors requirements, grant documentation standards, and The J policies.
  • Work independently while maintaining professionalism, confidentiality, and efficient office operations.

Program Coordination

  • Assist with volunteer recruitment, screening, onboarding, training, recognition, and retention.
  • Support volunteer and client intake training, matching, and annual evaluations.
  • Assist with home monitoring client visits, and program-related travel throughout Harris County.
  • Coordinate and support meetings, volunteer training, outreach events, volunteer recognition, and other duties as assigned.

Qualifications: Required Qualifications

  • Five or more years of administrative, program coordination, or nonprofit experience.
  • Strong organization, time-management, communication, and multitasking skills.
  • Strong Microsoft Office skills, including advanced Excel and proficiency with Word, Outlook, PowerPoint, Teams, and SharePoint
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Ability to bend and lift 25 lbs.
  • Valid driver's license, personal vehicle, current automobile liability insurance, and ability to travel independently throughout Harris County for program duties. Employees must maintain reliable personal transportation and an acceptable driving record

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Social Services, Community Services, Nonprofit Management, or related field work experience.
  • Experience with community engagement, older adults, volunteers, individuals with disabilities, and data management.
  • Knowledge of nonprofit, grant-funded, or federally funded programs.
