SENIOR CLERK
Your Specific Responsibilities:
This position is responsible for interviewing clients upon entrance to the Hernando County Health Department (HCHD) programs to determine initial and continuing eligibility for service. Interviewing clients for the purpose of obtaining pertinent information as appropriate. Screens and schedules client’s appointments for all medical health clinics. Assists in preparing clients’ medical records for scheduled clinic visits. This position must have a working knowledge of all the different medical services provided by the HCHD. Must be capable of making independent judgment and decision making as need arises.
Works as receptionist, providing general information as requested by clients. Electronically signing in clients and providing clients with Q-Flow designation number (electronic) at sign in. Acts as the key holder for the receiving room, managing the users to open and retrieve and place parcel packages in receiving room. Answers telephone for incoming calls directed from the Appointment Desk line scheduling and confirming clinics appointments verifying insurance status and updated demographic information and programs.
Organizes and manages the immunization requests, drop off transfers from out of state immunization histories, facilitating the flow and process of childhood vaccine for children. Ensuring the client receives the necessary immunization, or Florida Certificate Form 680. Manages obtaining and releasing of immunization records during back to school influx of school entrance.
Responsible for making appointments, reviewing proper computer screens to determine availability of appointments and selecting the most desirable time and date. Cancels appointments as requested by client and or clinic changes. Prepares clinic encounter in advance with client information and appropriate forms and insurance documentation for the assigned for types of service.
Obtaining documentation of accurate demographic information, i.e., address, date of birth, name, social security number, Medicaid numbers, et. Verifies Medicaid, Medicare, Health Management Organization (HMO), private insurance and financial eligibility in the proper computer screens upon intake of the clients for the services provided through HCHD. Update, organizes and maintains client records. Scanning necessary documents such as Photo IDs, custodial papers, Court Orders, required signature pages per policy and procedure. Working with Florida Shots (FLSHOTS) entering new clients and updating demographic of existing clients in the system. Ensure HMS has a FLSHOT id number on the demographic page.
Performs client billing for the Hepatitis programs 09 and 17. Performing 75% of the billing for these programs. Outreach encounters, internal encounter. Ensuring FLSHOTS is created or updated with current information. Ensuring Health Management System (HMS) registration is created or updated with current information.
Attends conferences, in-service programs and workshops with regards to various programs, duties and responsibilities. Types routine correspondence memorandums and reports as requested.
Responsible for designee and “need to know” employee for security sets relating to active medical records and immunization card as it relates to performance of assigned duties and responsibilities for security and confidentiality of same.
Performs other related duties as required.

Qualifications:
Preferred -
Have one or more years of experience with Microsoft office applications.
Have one or more years working in a medical or professional office. Speaks Spanish proficiently. Have one or more years of clerical experience.
