Job Description

The Senior Buyer I is responsible for managing the procurement of both medical and non-medical supplies, equipment, and services to meet the hospital's needs, ensuring timely delivery and maintaining optimal stock levels. This role involves establishing and maintaining positive relationships with vendors and suppliers, evaluating their performance based on quality, cost, and delivery reliability.

The Senior Buyer I negotiates pricing and shipping terms with suppliers to ensure cost-effective procurement while ensuring compliance with hospital purchasing policies and agreements, working closely with the Supply Chain Contracting team. In addition, the role includes monitoring inventory levels, reordering supplies as needed, and ensuring proper stock rotation to minimize waste in collaboration with the Logistics leadership.

The Senior Buyer I works with the finance team to ensure procurement activities are aligned with budget guidelines, tracking expenditure, and reporting on savings and cost reductions achieved through vendor negotiations.

Compliance with hospital policies, healthcare regulations, and ethical standards is critical, and the Senior Buyer I maintains accurate records of all procurement activities, including purchase orders, contracts, and invoices. The role also involves working closely with clinical departments to understand their supply needs and preferences, assisting in the identification and sourcing of specialized medical equipment or supplies in partnership with the Supply Chain Clinical Resource team.

Additionally, the Senior Buyer I stays updated on trends and innovations in the healthcare supply chain industry, identifying opportunities for process improvement and cost reduction strategies. Managing and tracking orders from placement to delivery, ensuring they are completed in a timely and efficient manner, and resolving any receiving issues, delivery errors, invoice discrepancies, and open orders is also a key responsibility. Lastly, the Senior Buyer I promptly addresses and resolves issues related to delayed shipments, product quality, or incorrect orders in a professional manner.

QUALIFICATIONS

  • Education Bachelor's degree in Supply Chain Management, Business Administration, or a related field preferred; Or, equivalent work experience equal to 8 years healthcare procurement experience.
  • Experience At least 2 years of experience in procurement, supply chain management, or a related field, preferably in a healthcare setting. Familiarity with hospital-specific inventory management or procurement platforms is a plus.
  • Knowledge Understanding medical supplies, equipment, and regulatory standards in the healthcare industry. Knowledge of supply chain best practices and procurement software systems.
  • Skills
    • Strong negotiation and communication skills
    • Excellent organizational, critical reasoning and time-management abilities
    • Proficiency with procurement software (e.g., SAP, Oracle, or other supply chain management tools)
    • Ability to analyze and interpret data to make informed purchasing decisions
    • Attention to detail and problem-solving capabilities

LICENSE/CERTIFICATION: Professional certifications such as Certified Materials Resource Planner (CMRP), Certified Professional in Supply Management (CPSM) or Certified Supply Chain Professional (CSCP) are preferred.

PERFORMANCE EXPECTATIONS

Demonstrates the technical competencies as established on the Assessment and Evaluation Tool. Demonstrates effective communication skills. Demonstrates ability to perform intermediate to advanced financial calculations and spreadsheet navigation. Exhibits strong critical reasoning skills.

WORK ENVIRONMENT

Potential for exposure to the hazards and risk of the hospital environment, including exposure to infectious disease, hazardous substances, and potential injury.

REPORTING RELATIONSHIP

This position reports to the Procurement & Analytics Manager and/or Surgical Services Procurement and Contract Supervisor and/or AVP of Supply Chain.
