Role Purpose

The Documentation Operations GSC Operator is responsible for the accurate and timely execution of operational activities across the booking-to-invoice lifecycle.

He/she will manage shipment documentation, booking creation, invoicing support, milestone management, detention monitoring, inventory updates, empty repositioning activities and operational reporting in accordance with established SOPs, service levels and business requirements.

This role requires close coordination with Agencies, Depots, Principals and internal stakeholders to ensure seamless execution of shipping operations while maintaining high standards of quality, compliance and customer service.

Designation: Senior Associate - NVOCC (Tank) Operations

Base Location: Ghansoli, Navi Mumbai

Reporting To: Assistant Manager / Manager – Documentation Operations

Key Role Responsibilities

Create and maintain shipment bookings within operational systems.

Prepare, validate and process shipping and operational documentation accurately and within agreed timelines.

Ensure all booking-related information is complete and updated within designated systems.

Monitor shipment milestones and perform timely status updates.

Coordinate with Agencies, Depots, Principal teams and internal stakeholders to support operational execution.

Support booking-to-invoice activities and ensure invoicing triggers are completed on time.

Monitor and update inventory transactions and container movement records.

Support empty container repositioning activities and maintain accurate system updates.

Track and manage POL and POD detention activities in accordance with established procedures.

Monitor transshipment activities and ensure timely updates of shipment events.

Identify and escalate shipment exceptions, delays, operational risks and process deviations.

Ensure compliance with SOPs, work instructions, operational controls and governance requirements.

Maintain accurate records and supporting documentation for audit and compliance purposes.

Support preparation of operational reports, dashboards and performance trackers.

Ensure compliance with regional KPIs, SLAs and operational targets.

Collaborate with internal teams to drive service excellence and continuous improvement initiatives.

Skills & Competencies

Prior experience in Shipping Operations, Container Operations, Logistics, NVOCC or Freight Forwarding

2–4 years direct experience in shipping, logistics, documentation operations or operational support functions.

Experience in Tank Container Operations and/or knowledge of Dangerous Goods (DG) / Hazardous Cargo handling will be an added advantage.

Knowledge of shipping documentation, booking management and invoicing processes.

Understanding of container operations, detention management and inventory control processes.

Demonstrated ability to multitask and perform effectively in a fast-paced operational environment.

Strong analytical and problem-solving skills.

Effective verbal and written communication skills.

Familiarity with shipping, logistics, ERP or operational systems.

Well versed with Microsoft Office applications, particularly Excel.

Ability to work independently and collaboratively within a team environment.

Flexible to work in rotational shifts as per business requirements, including night shifts, weekends and public holidays, to support global operations across different regions and time zones.

Education & Qualifications

Bachelor's Degree in any discipline.

Certification in Shipping, Logistics, Supply Chain or Maritime Studies will be an added advantage.
