This Opportunity:
Palladium is seeking a Senior Associate, Human Resources (HR) to support all aspects of HR operations across the Americas. The Senior Associate will be the first point of contact in HR for Palladium’s Americas employees. This role will facilitate day-to-day HR operations by being the primary administrator of internal and external HR systems and tools, benefits, employee onboarding and offboarding; as well as work with Finance to process payroll. The Senior Associate will also contribute to ad hoc HR process improvement initiatives as needed.
Location:
The position is based in Palladium’s Arlington, VA office within our Americas region. Candidates must be authorized to work in the US as visa sponsorship is not available.
Palladium supports a hybrid working model with 3 days in office, 2 days from home.
Compensation:
The annual base salary for this position is expected to range from $75,000 to $80,000. Please be advised that a final salary offer will be based on various factors, including but not limited to your qualifications, education, experience, skills, seniority, performance, and Palladium’s business or organizational needs.
Reporting and Supervision:
- The role will report to the Manager, Human Resources
- This role will not have supervisory responsibilities
Primary Duties and Responsibilities:
Core HR Administration
- Primary administrator of Palladium’s HRIS system which includes HR Compass, HR Module, and Learning Compass
- Day-to-day management of the Human Resources Outlook mailbox, including responding to emails in a timely manner; categorizing and assigning new emails to appropriate HR team members or forwarding as necessary; keeping the mailbox organized by archiving completed requests, flagging follow-up requests, etc.
- Review, update, and manage the electronic HR filing system
- Support semi-monthly payroll by keeping track of employee compensation and benefits updates between pay periods, submitting these changes to the Payroll (Finance) Team and approving the final payroll register
Onboarding and Offboarding
- Manage successful onboarding of new hires, including facilitating set-up in relevant internal and external systems; coordinating with Talent Acquisition (TA), IT, Payroll and Facilities to ensure successful employee set-up on Day 1; drafting and sending welcome emails and meeting invites to new hires; and completing employment verifications, HR orientation/benefits training and send follow up emails and documents
- Manage successful offboarding of exiting employees, including drafting and sending offboarding emails to exiting employees; coordinating with IT and Facilities on equipment return and with Payroll on final check processing; and removing exiting employees from internal and external systems
Benefits Administration
- Primary administrator of internal and external benefits administration systems and tools ensuring employee updates are made accurately and on time.
- Facilitate and process employee special enrolment/Qualifying Life Event benefit changes
- As requested by the Manager, HR, liaise with brokers and external vendors/administrators to ensure successful benefits administration
- Act as secondary administrator of Palladium’s retirement portal with Fidelity
- Support annual open enrolment and employee benefits education
HR invoice processing
- Manage HR invoice processing and submission, working with relevant parties to ensure accurate and timely processing including vendor set-up, payment authorization form (PAF) preparation, approvals, andsubmission in the Finance approval portal
- Maintain and update the invoice management tool used for tracking HR related contracts and invoices
- Periodically audit all HR invoices and contracts, liaising with vendors as necessary to facilitate updates and/or renewals
Other
- Ad hoc requests as required
- Serve as a back-up for Palladium’s Applicant Tracking System (ATS)
Essential Criteria:
- 3-5 years of demonstrated experience in HR and benefits administration/ supporting a primarily US, multi-state employee population
- Experience supporting employees at different stages of the employee lifecycle from onboarding to offboarding
- Experience working with HRIS and other HR tools and systems to update and manage employee records
- Experience supporting payroll administration
- Experience managing benefits administration, efficiently enrolling employees, as well as processing updates such as and qualifying life event changes
- Experience supporting retirement/401k administration – includes making employee changes in external administrator portal
- Familiarity with Applicant Tracking Systems (ATS)
- Ability to manage employee inquiries through shared HR mailboxes and provide customer-focused support
- Strong internal and external stakeholder liaison skills across Operations - HR, Talent Acquisition, Payroll, IT, Facilities, Legal and benefits vendors
- Ability to present and meet with employees for one-on-one or in groups – includes HR Orientation, HR systems or tools training and exit interviews
- Ability to maintain confidential employee information and HR documentation
- Strong organizational and communication skills with attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office, particularly Outlook and Excel, as well as Microsoft SharePoint
- Ability to support process improvement initiatives and administrative workflows
Desired Criteria:
- Professional working proficiency in multiple languages with priority given to Spanish, French, Portuguese and Arabic
- Experience with HR reporting – includes pulling reports from HRIS and benefits administrations systems.
- Experience working in a global organization is a plus
