Position Title: HSE Administrative Assistant

Department: Health, Safety & Environmental (HSE)

Location: Houston, TX

Reports To: Manager, Occupational Health & Administrative Services

Plains is seeking a highly organized and proactive HSE Administrative Assistant to support the Health, Safety & Environmental (HSE) organization. This role provides administrative, financial, communications, and project coordination support to multiple HSE functions while helping drive operational efficiency across the department.

The successful candidate will serve as a key resource for HSE leadership and team members by managing invoice processing, coordinating events and meetings, supporting departmental communications, maintaining administrative systems, and identifying opportunities to improve processes and workflows.

Responsibilities

  • Administrative Support
  • Provide administrative support to HSE leadership and team members.
  • Coordinate meetings, visitor requests, catering, team events, and special projects.
  • Serve as a co-primary point of contact for HSE administrative requests and inquiries.
  • Assist with document preparation, presentations, reports, meeting materials, and departmental communications.
  • Coordinate vendors, logistics, catering, registrations, communications, and event materials.
  • Identify opportunities to improve administrative processes and increase team efficiency.
  • Invoice Management & Support
  • Process and code high-volume invoices accurately and efficiently within Oracle.
  • Ensure compliance with company financial, tax, and accounting requirements.
  • Research and resolve invoice discrepancies by collaborating with vendors and internal stakeholders.

Qualifications Required

  • High school diploma or equivalent required.
  • 2+ years of administrative, project coordination, or office management experience.
  • Demonstrated experience managing multiple priorities in a fast-paced environment.
  • Strong organizational, communication, and customer service skills.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams.
  • Strong attention to detail and ability to maintain confidentiality.

Preferred

  • Experience with Oracle, SAP, or other enterprise financial systems.
  • Event planning and project coordination experience.
