Aga Khan University invites applications for the position of Senior Assistant at the School of Nursing and Midwifery.
Responsibilities:
Reporting to the Senior Manager, you will be responsible for:
- coordinating classroom and venue bookings for undergraduate and postgraduate nursing programs, including theory classes, assessments, OSCEs, OSPEs, and clinical conferences
- maintaining and updating centralized academic calendars for classroom utilization, examinations, and program schedules
- preparing, managing, and monitoring student attendance records for theory and clinical sessions, ensuring timely reporting and documentation
- collecting and compiling attendance data from course coordinators and maintaining accurate records for management review
- supporting academic programs by scheduling classes, marking faculty calendars, and facilitating virtual learning sessions through Zoom and MS Teams
- ensuring timely distribution of certification cards and maintaining accurate electronic records of issuance
- preparing attendance files and related academic documentation at the beginning of each semester
- recording meeting minutes and coordinating follow-up actions with relevant stakeholders
- sending venue booking confirmations, notifications, and reminders to faculty, students, and administrative teams
- maintaining and updating databases, records, and documentation related to academic and assessment activities
- coordinating with internal stakeholders to support the smooth execution of academic assessments and program operations
- serving as a liaison between academic teams and standardized patients (SPs) for scheduling, communication, and operational arrangements
- coordinating logistics for examination activities, including transportation, refreshments, and scheduling requirements where applicable
- maintaining records of attendance, performance feedback, and compensation details in collaboration with relevant administrative offices
- monitoring and reporting operational issues, absences, and incidents to the relevant supervisor and supporting timely resolution.
