
This role is part of the Programme and Office Management (POM) team within the NBS Undergraduate Programmes Office (UPO) and plays a key leadership role in supporting the effective delivery of undergraduate education.
The Senior Assistant Manager drives strategic initiatives, strengthen governance frameworks, and leads operational excellence across curriculum implementation, financial aid administration, and student management processes.
Working closely with School leadership, Programme Directors, and central offices, the role contributes to institutional strategy, policy development, academic excellence, educational innovation, institutional integrity, and a high‑quality student experience in support of the University’s mission
Responsibilities:
Strategic Initiatives
Support School leadership and Programme Directors in planning and implementing strategic academic initiatives, including curriculum launches, industry embedded learning, and internationalisation.
Provide end to end administrative and project management support for new programmes, pathways, majors, and curriculum enhancements.
Coordinate curriculum approvals, system set up, timetable readiness, and stakeholder communications to ensure smooth roll out and transition.
Monitor implementation progress and consolidate feedback to support post implementation reviews and continuous improvement.
Administration of Dean’s Global Immersion Award
Oversee the end‑to‑end administration of the NBS Dean’s Global Immersion Award in accordance with the approved Rules of Administration, ensuring compliance with funding purpose, eligibility criteria, and usage conditions.
Oversee and monitor award utilisation across the awardee’s candidature, including tracking of claim submissions and adherence to approved funding quantum.
Ensure compliance with awardee obligations, including the submission of post‑engagement reflection reports after each funded trip, and adherence to stipulated academic performance and conduct requirements.
Oversee record‑keeping and data management, including awardee profiles, utilisation status, reflections received, and engagement participation, to support governance, audit, and reporting needs.
Administration of NBS Financial Aids
Plan and oversee the end‑to‑end administration of undergraduate NBS financial aid schemes in accordance with approved policies and guidelines.
Coordinate the application process, including document verification, shortlisting, interviews, and preparation of recommendations for selection committees.
Liaise with the NTU Financial Aid Office and Finance to support financial verification and timely disbursement of approved funds.
Ensure accurate documentation, proper governance, and compliance with the Rules of Administration (ROA) and Standard Operating Procedures (SOPs).
Administration Support to Associate Deans and Deputy Director
Provide administrative and coordination support for faculty appointments and renewals.
Lead UPO budget planning, consolidation, monitoring, and reporting in alignment with school and university priorities.
Evaluate and support funding requests for new initiatives, ensuring financial viability and value‑for‑money.
Prepare budget utilisation and financial status reports for senior management oversight.
Administrative Support to UPO Operations
Support the day‑to‑day operational needs of the Undergraduate Programmes Office to ensure continuity and service quality.
Coordinate onboarding and offboarding processes, including access provisioning and role‑based account management.
Maintain distribution lists and shared resources to support effective communication across faculty and administrative stakeholders.
Ensure administrative practices comply with data protection, IT security, and audit requirements.
Disciplinary Matters
Manage and support the administration of student disciplinary processes, including Preliminary Inquiries (PI) and Committees of Inquiry (COI).
Maintain case files, draft reports, and prepare official correspondence related to disciplinary outcomes.
Coordinate with faculty, Student Disciplinary Officers, and the Board of Discipline where cases are escalated.
Ensure disciplinary processes are managed in accordance with University policies, SOPs, and governance standards.
Requirements:
Bachelor’s Degree
Minimum 4 – 6 years of working experience (candidates with background and experience in IHLs will have an advantage)
Strong project management and coordination skills
Ability to work effectively with senior stakeholders and cross‑functional teams
High level of professionalism, judgement, and discretion in handling sensitive matters
Strong organisational, analytical, and communication skills
Proficient in Microsoft Office applications
Strategic thinking and problem-solving ability
