
The Office of Academic Services (OAS) plays a key role in advancing the University’s educational goals and supporting the provision and governance of academic learning in NTU. We provide the end-to-end academic services from the time of their matriculation to their graduation, creating positive impacts on the academic journey of all 33,000 undergraduate and postgraduate (coursework and research) students during their study in NTU.
This position supports digital transformation and data governance in Academic Services through the management and coordination of key student academic systems, with primary responsibility for the academic core of the Student Management System (SMS), as well as other academic SaaS systems. The job holder coordinates system enhancements, supports stakeholder engagement and user adoption, and helps deliver system improvements aligned with operational needs and university priorities.
Working closely with the Director and relevant stakeholders, the job holder serves as a key point of contact for requests relating to academic systems and data, supports compliance with data governance guidelines, and contributes to data stewardship and quality assurance efforts. The role also drives the development and adoption of data visualisation dashboards and reporting solutions, and supports selected cross-functional and system-related projects that strengthen academic services across Schools and Colleges, from matriculation to graduation.
Key Responsibilities:
1. Academic Services Systems Implementation and Management
Manage and coordinate key student academic systems within Academic Services, with primary responsibility for the implementation and management of the Academic Core of the Student Management System (SMS), as well as other academic SaaS systems. Coordinate system changes, enhancement requests, and follow-up actions with Academic Services teams, IT, the Project Management Office, SMS teams, and other relevant stakeholders to ensure timely delivery aligned with functional requirements, governance standards, and project timelines. Support user adoption by gathering feedback, refining requirements, coordinating training and post-implementation support, and promoting continuous improvement in system use.
2. Data Governance, Request Management and Stewardship
Serve as the key point of contact for requests relating to academic systems and data within Academic Services, including the assessment of requests before escalation for approval. Evaluate and coordinate responses to complex requests, including those involving sensitive student information, by identifying relevant data from undergraduate and postgraduate systems, interpreting applicable business rules, and ensuring compliance with the University’s data governance guidelines, access controls, and privacy requirements. Support data stewardship and quality assurance efforts by working with data owners and relevant stakeholders to define standards, monitor data quality, resolve inconsistencies, and uphold the accuracy, consistency, and proper use of academic data.
3. Data Analytics and Dashboard Development
Drive the development and adoption of data visualisation dashboards and reporting solutions for Academic Services. Work with stakeholders to identify user needs, translate business requirements into dashboard functionality, refine usability, and support rollout and continuous enhancement. Where feasible, develop dashboards for Academic Services and support the effective use of data analytics to strengthen academic and administrative decision-making.
4. Cross-functional Projects and Digital Transformation
Support the Director in coordinating selected cross-functional and system-related projects that contribute to digital transformation and academic operations. Responsibilities include stakeholder coordination, progress tracking, issue follow-up, and support for the timely implementation of project outcomes across Academic Services, Schools, and Colleges.
Requirements:
Bachelor’s degree in Business Administration, Information Systems, Data Analytics, Education, or a related field.
At least 3 to 5 years of relevant work experience in academic services, student academic systems, system implementation, or digital transformation, with experience in coordinating cross-functional projects and system enhancements.
Proven experience in coordinating system change and enhancement requests for student academic systems, Student Management System (SMS) or equivalent enterprise systems. Experience in dashboard development, reporting, process automation, or digitisation initiatives is advantageous. Familiarity with tools such as Power BI, Power Automate, low-code platforms, or other data analytics tools will be an advantage.
Strong understanding of academic operations and student lifecycle processes, with the ability to interpret business requirements, business rules, system flows, and academic data structures.
Strong stakeholder management, interpersonal, and communication skills, with the ability to engage effectively with internal teams, IT partners, data stakeholders, and end users, support user onboarding and training, and translate technical, operational, or policy requirements into clear and user-friendly guidance.
Strong analytical and critical thinking abilities, with a detail-oriented mindset, sound judgement, and the ability to assess data- and system-related requests, including matters involving sensitive information, in accordance with governance and privacy requirements.
